Job Summary
The Customer Service & Office Support Associate is responsible for providing exceptional customer service and operational support within the office environment. This position ensures smooth day-to-day operations by maintaining a functional reception area, managing mailroom and office service activities, and coordinating facility maintenance needs. The role requires flexibility, hands-on problem-solving skills, and the ability to provide reliable backup support across multiple departments and locations. The ideal candidate demonstrates professionalism, teamwork, and a strong commitment to creating a clean, efficient, and service-oriented workplace.
Key Responsibilities
Customer Service
+ Maintain a functional, professional, and well-staffed customer service area.
+ Provide reception coverage and manage client interactions with a high level of professionalism.
+ Handle inquiries and resolve issues promptly, including assisting difficult or irate customers with patience and tact.
Mailroom & Office Support
+ Perform all mailroom functions including sorting, distributing, and processing incoming and outgoing mail.
+ Assist with office service tasks such as copy requests, work tickets, and document handling.
+ Provide mailroom or office service coverage during breaks, absences, or peak periods.
Equipment & Facility Management
+ Ensure proper operation and maintenance of office equipment including copiers, printers, and scanners.
+ Oversee kitchen/pantry appliances and general facility upkeep to ensure clean, safe, and operational spaces.
+ Coordinate service and repairs for facility-related issues such as plumbing, refrigeration, and lighting.
+ Maintain organized and well-stocked kitchen, copy, and conference room areas.
Backup & Flexibility
+ Serve as a backup for all staff functions, providing cross-departmental support when needed.
+ Adapt to changing duties, priorities, and coverage requirements across different office locations.
+ Support the Nashville office and assist with maintenance service scheduling and follow-up.
General Office Operations
+ Maintain kitchen supply inventories and submit weekly restock requests.
+ Keep conference rooms, pantries, and copy areas neat and organized; ensure corridors and freight areas remain clear.
+ Assist with internal office moves including packing, relocation, and distribution of keys.
+ Prepare new offices with necessary furniture, equipment, and nameplates.
+ Manage and coordinate furniture installations, removals, and repairs; oversee painting and workspace refreshes.
+ Perform hands-on maintenance tasks such as assembling furniture, rearranging layouts, and hanging artwork.
+ Provide logistical support for meetings and events by setting up furniture, food, and beverages, and assisting with equipment and staging as needed.
Qualifications
+ Education: High School diploma or GED equivalent required.
+ Experience:
+ 1–2 years of customer service experience.
+ 1–2 years in a corporate or professional office environment.
+ 1–2 years of experience in building or facility services preferred.
+ Skills & Abilities:
+ Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
+ Ability to handle confidential and sensitive information with discretion.
+ Strong organizational, communication, and problem-solving skills.
+ Proven ability to work both independently and as part of a team.
+ Excellent attention to detail with a strong sense of ownership and accountability.
+ Ability to lift up to 50 pounds and perform light physical tasks as required
