The Medical Office Receptionist is responsible for greeting patients upon arrival, answering phone calls, and monitoring the fax machine. This role gathers pertinent patient information, collects co-pays, schedules appointments, and takes messages. The position involves daily interaction with external providers and healthcare vendors.
Key Responsibilities
+ Patient Interaction & Front Desk Duties
+ Greet and check in patients.
+ Verify insurance eligibility via websites and phone.
+ Collect co-pays and outstanding balances.
+ Schedule appointments and manage provider calendars to reduce gaps and ensure timely care.
+ Call patients for telehealth appointments, verify address, pharmacy, and insurance information, and forward the call to the provider.
+ Send appointment reminder texts to patients.
+ Communication & Coordination
+ Answer incoming calls using excellent customer service skills.
+ Interact with provider offices, insurance companies, and healthcare vendors.
+ Accurately document patient concerns, messages, and appointment details using proper grammar and spelling.
+ Medical Records & Documentation
+ Prepare patient information for upcoming appointments.
+ Send and receive medical records with proper authorization.
+ Scan external records into the EMR system appropriately.
+ Process incoming faxes and sort accordingly.
+ Check voicemails daily and respond as needed.
+ Administrative Support
+ Prepare urgent referral lists for provider review.
+ Collect and distribute mail from the mailbox.
+ Maintain confidentiality and comply with HIPAA regulations.
+ Perform related duties consistent with the scope and intent of the position.
+ Enforce company policies and safety procedures.
+ Maintain IPA and Health Plan compliance standards.
+ Regular attendance and travel as required.
Competencies & Qualifications
+ Experience & Knowledge
+ Minimum six (6) months experience in a medical office environment required.
+ Familiarity with various insurance types and eligibility websites preferred.
+ Knowledge of medical terminology, CPT, ICD-10, and reference tools relevant to Medical Assistant scope of practice.
+ Working knowledge of HIPAA and compliance guidelines.
+ Skills
+ Strong customer service and first-line problem-solving skills.
+ Excellent oral and written communication.
+ Active listening and critical thinking.
+ Ability to multi-task, manage time effectively, and meet deadlines.
+ High attention to detail and accurate documentation.
+ Basic computer skills; accurate typing and 10-key proficiency.

Job Type & Location
This is a Contract to Hire position based out of Sacramento, CA.
Pay and Benefits
The pay range for this position is $21.00 - $23.00/hr.
