Job Description:
The Office Coordinator manages accounts payables, receivables, timecard system (payroll), and record systems for the Aviation Center. The Office Coordinator also acts as a liaison with outside vendors and corporate internal operations. The Flight Coordinator schedules the corporate aircraft and flight crews in accordance with the Company Operations Manual. They will participate in strategic planning and policy formation and demonstrate a high level of knowledge of policy and procedures.
In this role you will initiate and prepares reports required by company policy. Manage office personnel, oversee the technology and communications, along with coordinate aircraft, crew, flight schedules and department personnel.
Key Responsibilities:
+ Schedule corporate aircraft and flight crews in accordance with the Company Operations Manual.
+ Reconcile the aircraft and office credit cards
+ Process receivables and payables.
+ Act as a liaison between vendors and corporate internal operations.
+ Act as a liaison between the Aviation Center, Cleveland Hopkins Airport and other industry groups.
+ Responsible for coordinating record retention for Aviation Center documents.
+ Responsible for Aviation Center timecard system and coordination with Key’s payroll system.
+ Assist in the coordination of maintenance and security of the aviation facility.
+ Coordinate travel of Aviation Center employees.
+ Serve as liaison with the executive assistants to provide information and assistance in scheduling the corporate aircraft.
+ Coordinate with the Director of Maintenance to ensure that the aircraft is scheduled within maintenance constraints to accommodate operational needs.
+ Coordinate flight schedule requirements with the Director of Aviation to ensure crew availability for the efficient staffing of the aircraft.
+ Arrange passenger and crew ground transportation and catering, as well as crew hotel reservations.
+ Monitor, review for completeness and accuracy, collate and file trip records.
+ Act as the IRP & BCP Expert and revise the program manuals as necessary.
+ Accept additional assignments as directed by the Director of Aviation.
Required Qualifications:
+ Minimum of 2 years of experience with general administrative or coordination experience.
+ Familiarity with FAA regulations and aviation safety standards.
+ Demonstrated experience managing financial processes, including AR/AP - such as invoices, payment processing, and reconciliation.
+ Strong attention to detail, ability to prioritize tasks under pressure, and excellent written and verbal communication skills.
+ Proficiency in Microsoft Office Suite and aviation scheduling software.
+ Ability to work independently and manage multiple priorities in a fast-paced environment.
+ Ability to work flexible hours, including occasional nights and weekends.
Preferred Qualifications:
+ Previous experience in flight attending preferred.
+ Experience with aviation scheduling platforms and familiarity with FAA documentation processes is a plus.
COMPENSATION AND BENEFITS
This position is eligible to earn a base hourly rate in the range of $29.33 - $45.19 per hour. Placement within the pay range may differ based upon various factors, including but not limited to skills, experience and geographic location. Compensation for this role also includes incentive compensation subject to individual and company performance.
