Description
Our client, a well-established organization in the Barre, VT area, is seeking a detail-oriented Administrative Assistant to support daily office operations and provide excellent service to internal teams and external stakeholders. This is a full-time position with the potential for long-term employment through Robert Half once the right candidate is identified.
Key Responsibilities:
+ Serve as the primary point of contact for incoming calls, visitor greeting, and general inquiries.
+ Manage scheduling of meetings, conference rooms, and calendars for key staff.
+ Prepare, proofread, and format documents, reports, presentations and correspondence.
+ Maintain filing systems (both electronic and paper), ensuring records are accurate and accessible.
+ Support accounts-payable/receivable tasks: process invoices, track expenses, match purchase orders, and assist with basic bookkeeping or data entry.
+ Coordinate office supplies, vendor relationships, and oversee equipment maintenance or service requests.
+ Assist with onboarding new staff: prepare workstations, update rosters, set up access, and coordinate training schedules.
+ Help facilitate internal communications: contribute to team newsletters, intranet postings, and staff memos.
+ Collaborate with cross-functional teams (HR, Finance, Operations) as needed and take on special projects.
+ Implement process improvements to enhance efficiency, accuracy, and stakeholder satisfaction.
Requirements
+ 2+ years of office administrative experience, preferably in a fast-paced environment.
+ Strong proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint); comfort learning new systems.
+ Excellent written and verbal communication skills paired with high accuracy and strong attention to detail.
+ Ability to manage competing priorities and meet deadlines with professionalism.
+ Strong organizational and time-management skills; proven capacity to maintain confidentiality and handle sensitive information.
+ A proactive, “can-do” attitude, comfortable working both independently and as part of a team.
+ Experience with bookkeeping fundamentals (invoice processing, reconciliation) is a plus.
+ Familiarity with Google Workspace, SharePoint, or other collaboration tools is beneficial.
+ Must be located in or willing to commute to the Barre, VT area.
