JobSummary: The Payroll Tax Analyst is responsible for the control and balance of all payroll tax filings, troubleshooting tax issues and inquiries, monitoring state unemployment rates, and providing support to all internal departments regarding payroll tax inquiries. In addition, the Analyst will process payroll, report and analyze payroll activity, reconcile any discrepancies and support year end processing. The Analyst will take part in system upgrades or changes related to payroll and recommend process improvements.
An employee in this position can expect an annual starting rate between $80,000 - $90,000 depending on experience, seniority, geographic locations, and other factors permitted by law.
WhatYouDo:
• Control and balance payroll tax filings
o Prepare payroll tax wire transfers and check requests and balance all federal, state and local taxes to the year to date figures. Maintain tax spreadsheets in order to ensure accurate and timely submission of the quarterly and annual tax reconciliations
o Complete and remit state quarterly and annual tax withholding reconciliation schedules
o Review weekly tax withholding report and tax error report for possible tax set-up discrepancies and make appropriate corrections to employee tax records
o Assist the Payroll Manager in testing and reviewing PeopleSoft tax upgrades
o Upgrade state tax remittance from a manual check process to an electronic wire transfer process in coordination with the Cash Management department
• Prepare, reconcile and file payroll taxes including year-end tax reporting
o Prepare the quarterly and annual states’ tax withholding reconciliation returns. Confirm the payments remitted to the tax reports
o Prepare a check request if additional remittance is required. Compose correspondence if a tax refund is due
o Prepare the states’ annual employee wage reporting return for all 5 corporations
o Reconcile states’ taxable gross and tax withheld to the tax report and remittance schedule.
o Process PeopleSoft’s annual state sqr for the wage detail online. Prepare the information, including the states’ specific requirements for receipt
• Troubleshoot tax inquiries and issues
o Investigate, resolve and respond to all tax agency inquiries
o Update the online Tax Filing User Manual
o Research Corporate Tax Department inquiries and provide documentation and schedules for tax audits.
o Review daily Default Tax Report and correct changes
• Monitor state unemployment rates
o Review all state unemployment rates and, in coordination with our Unemployment Administrator, make recommendations for the establishment of a “merge” account or a voluntary contribution to achieve a favorable rate
o Maintain state unemployment rates in PeopleSoft
o Liaison with internal departments regarding payroll tax inquiries
o Contact local tax agencies as new stores open to ensure proper withholding of the various city, county and school district taxes
• Process and analyze payroll data for accuracy, completeness, and compliance with company policies and legal regulations.
• Ensure timely and accurate payroll transactions including salaries, benefits, bonuses, taxes and deductions.
• Reconcile payroll accounts to ensure accuracy and identify discrepancies.
• Prepare reports on payroll activity, analyze payroll data, and identify areas for improvement.
• Support Year End Processing; ensure accuracy of W2s and process any necessary W2 corrections.
• Participate in system upgrades or changes related to payroll and recommend process improvements.
Knowledge&Experience:
• College degree plus a minimum of 3 – 5 years of experience within the payroll function, or the equivalent years of experience is required
• Thorough knowledge of multi-state tax reporting and filing procedures & deadlines
• Thorough knowledge of multi-state payroll law and ability to resolve issues at the employee level
• Ability to analyze and critically review payroll issues and processes
• Excellent verbal and written communication skills, and organizational skills
• Strong attention to detail and commitment to accuracy
• Proficiency in Excel
• Experience with PeopleSoft and MasterTax a plus
• Excellent organizational skills; ability to prioritize and meet deadlines
• Ability to maintain confidentiality and handle sensitive information
