    Overview

    Our Emergency Disaster Services (EDS) Department has an opening for a Training and Deployment Administrator. This position provides general administrative duties and direct oversight to the administration of all training business within the EDS Department, including course registration, credentialing of trainers, documentation, reporting and compliance for all outside entities we partner with for training while also performing all regular administrative duties on behalf of the Department. Additionally, in times of disaster the Training and Deployment Administrator will serve as the deployment specialist/manager overseeing the process for deployment of personnel including transportation, lodging, rental vehicles and post deployment interview compliance.

     

    This position, based in West Nyack, NY requires approximately 35 hours of work per week and is onsite.

    Responsibilities

    Training Administrator duties:

    + Preparing and distributing materials to instructors for the National Disaster Training Program (NDTP).

    + Tracking and registering all participants of EDS training territorially into the National EDS Database.

    + Serve as the lead Territorial Administrator in conjunction with the EDS Director for the National EDS Database (including issuing and managing Admin rights on the system).

    + Serve as the lead manager for partnerships with outside training entities such as HSI and ServeSafe.

    + Work with Training and Volunteer Coordinator (TVC) to schedule and register training courses and instructors.

    + Work with TVC to manage any required lodging, transportation, or logistics for training events across the Territory.

    + Maintain all training records and filing in compliance with standards.

    + Support any reporting requirements around training initiatives, feedback and best practices as requested or required.

    + Oversee the filing and distribution of instructor certifications, notices and records (both NDTP and external).

    + Manage the Health and Safety Institute programs for Medic First Aid and Basic Life Support, including ordering, processing and account updating.

    + Tracking and purchasing EDS training supplies and equipment with national vendors.

    + Support organizing and registering for regional training summits and territorial training events.

    + Work with host Divisions to secure necessary lodging/training space for summits and events.

    + Ensure all training materials are shipped in a timely manner for scheduled events and course offerings.

    + Work with instructors to ensure all documentation is received and properly maintained.

    + During larger regional/territorial training events serve as the manager of participant registration planning.

    + Serve on event planning/organizing committee in role of secretary responsible for any minutes, documentation or follow-up action planning.

    + Work with Business Services to schedule and produce any required printed materials for training courses and events Disaster Deployment.

    Specialist duties:

    + Serve as the lead deployment manager responsible for personnel logistics for personnel assigned to larger disaster operations within the Territory.

    + Oversee all booking and related travel considerations for personnel deploying including flights, lodging, rental vehicles, etc.

    + Work with Divisional EDS Directors to maintain list of approved personnel from each command for potential deployment during large scale disaster events.

    + Track all necessary approval correspondence related to personnel deployments.

    + Coordinate with deployed Finance and Admin Chief (FAC) personnel in Incident Management Teams (IMT) assigned to disaster teams.

    + Work with disaster impacted Divisions and/or FAC personnel to determine additional/replacement personnel required to maintain disaster operations.

    + Support deployed FAC for any changes to travel plans of personnel returning outside of predetermined timelines.

    + Help to facilitate emergency travel requirements of personnel requiring immediate departure from disaster impacted areas.

    + Serve as Territorial Administrator for the National EDS Database F&A Suite (for deployment tracking and engagement).

    + Serve as the Finance Administration Chief role on a Territorial IMT when activated.

    + Coordinate with other Territories for personnel deploying from outside the Eastern Territory.

    + Coordinate with impacted Territory travel requirements and other deployment related info and disseminate to personnel being deployed.

    + Ensure all invoicing and reimbursements are processed in a timely manner to vendors and/or commands.

    + Manage relationships with vendors and suppliers to resource goods for response / recovery and support Divisional operations.

    + Provides/sources translation services, when required.

    + Maintain statistics and reports used in communicating the response.

    + Be willing to deploy to disaster impacted areas in support of IMT operations as required/necessary.

    Administrative duties:

    + Preparing, maintaining and updating minutes of conference calls and meetings.

    + Assisting the Territorial Disaster Services Coordinator with correspondence and reports.

    + Serve as lead Territorial Administrator for the NDTP course registration database.

    + Manage the ServSafe Training Program material purchase, distribution and account maintenance.

    + Purchase, track and maintain bulk supplies available to Divisions through the Territorial EDS Office.

    + Create, review and edit content to be placed on the National EDS Website related to Divisional/Territorial events and disaster responses.

    + Processes and maintains records for departmental travel and related expenses.

    + Book travel for EDS staff and/or participants for events, meetings and engagements as requested.

    + Maintaining open communications and dialogue with the Divisional EDS Directors and their staff.

    + Maintain platforms for project management tracking on open projects and task on behalf of department.

    + Manage all communication and resource platforms on behalf of department; including departmental shared mailbox, Google drive/suite, OneDrive/Dropbox, etc.

    + Assist the EDS Director with coordinating annual disaster services meetings and events, including scheduling, booking of speakers/guests, ordering of material, coordinate required logistics for attendees and venue.

    + Answering phones and extensions across the department as assigned.

    + Correspondence as required (e-mail and hard copies).

    + General office organization including photocopying and filing.

    + Maintaining and manage EDS Department calendars and mailboxes on behalf of all staff as requested.

    + Work with other departments including Finance, CRD, etc. for follow-up items from EDS Department as requested or required.

    Qualifications

    + Associate's Degree

    + 3-5 years of related experience

    + Must have strong computer skills, attention-to-detail, people-skills and organizational skills

    + Must be proficient on Microsoft Office Suite and Google Suite platforms

    + Must be able to work well independently

    + Preferably able to work long hours or flexible schedule during major disaster operations

    + Spanish speaking proficiency preferred
