Reporting to the Manager, Education and Accreditation, with dotted line reporting to the Executive Director, Continuing Medical Education, the IPCE Accreditation and Conference Specialist (IPCE Specialist) is responsible for managing accreditation compliance, documentation, and conference planning for Interprofessional Continuing Education (IPCE) activities across UW Medicine and health sciences. Supporting faculty and staff, this position is actively involved in the educational planning process, ensuring activities meet the standards of Joint Accreditation (ACCME, ANCC, ACPE), the implementation of programs, and leading tracking and reporting of certification data and outcomes.
The IPCE Specialist serves as a liaison among internal stakeholders, including faculty, course directors, coordinators, and external accrediting bodies. The position is essential to supporting the university’s mission of delivering high-quality, interprofessional education to healthcare professionals and improving patient care outcomes.
The IPCE Specialist operates within a highly regulated environment where precision, compliance and timely execution are critical to success. This role must interpret and navigate complex requirements, ensuring standards are met and stakeholders receive necessary guidance. This position requires collaboration to integrate accreditation compliance into conference, education, and program planning and includes attendance at conferences and events as a subject matter expert. The IPCE Specialist must be thoughtful and organized to plan and manage competing priorities and stakeholder needs.
DUTIES AND RESPONSIBILITIES
Accreditation and Compliance Management (35%)
+ Collaborate with faculty, clinicians, and external stakeholders to design and deliver high-quality interprofessional continuing education activities.
+ Conduct needs assessments to identify gaps in knowledge, competence, and team-based practice across healthcare disciplines.
+ Develop program objectives, agendas, and activity formats that promote interprofessional collaboration and practice change.
+ Guide and assist faculty, coordinators, and planners through the completion of required documentation such as gap analysis, needs assessments, learning objectives, planning forms, disclosures and mitigation, evaluation tools and outcomes reporting. Using subject matter expertise, this may include providing direction, answering questions, helping with documents, and ensuring everything is complete, accurate and ready for submission.
+ Ensure all documents are in alignment with Joint Accreditation standards. If not, offer suggestions to meet required standards and partner in any necessary changes..
+ Conduct internal compliance reviews and prepare documentation for audits and reaccreditation.
Conference and Event Management and Support (30%)
+ Exercise independent judgement and discretion in all aspects of planning, organizing, execution, and post-course follow through of educational activities.
+ Development of planning timeline to meet all critical deadlines throughout the planning and execution phases for each activity.
+ Development of contracts with both internal and external agencies.
+ Activity promotion coordination to include:
+ Identify advertising requirements.
+ Identify mailing lists to be used for promotional correspondence.
+ Coordinate the design, production, and mailing of promotional materials.
+ Create marketing materials for promoting events, including using social media.
+ Maintain documentation on all facets of course planning and communication.
+ Manage course documentation to meet legal and accreditation standards.
+ As part of planning teams, support major live, virtual, and hybrid educational conferences.
+ Work with faculty, coordinators, and vendors to ensure timelines, logistics, and accreditation components are integrated into planning.
+ Attend events as an accreditation representative and provide on-site or virtual support for documentation, attendance, and evaluations.
Project Management and Planning (20%)
+ Maintain centralized planning tools, calendars, and dashboards to track progress and deadlines for education activities.
+ Ensure projects are on schedule, facilitate project check-ins and update stakeholders on outstanding tasks and timelines.
+ Monitor workload and identify risks that could impact activity success or compliance. Bring issues to supervisor, providing proposed solutions to identify best course of action.
Data Tracking and Certification (15%)
+ Track attendance and participation through learning management or event systems (e.g., CloudCME).
+ Manage post-activity evaluation and credit claim processes.
+ Generate reports for internal metrics and external accrediting bodies. Provide analysis of information therein.
MINIMUM REQUIREMENTS
+ Bachelor's degree in education, public health, communications, healthcare administration, or related field.
+ At least two years of experience in continuing education, academic program coordination, or conference/event support.
Additional Requirements.
+ Knowledge of continuing education or professional development standards.
+ Strong organizational and communication skills.
+ Experience with Microsoft Office and educational/event technology platforms.
DESIRED QUALIFICATIONS
+ Experience working in a healthcare, academic, or professional education setting.
+ Familiarity with Joint Accreditation, ACCME, ANCC, or ACPE standards.
+ Experience using CME/LMS platforms (e.g., CloudCME, EthosCE).
+ Demonstrated ability to manage multiple priorities and meet deadlines with minimal supervision.
WORKING CONDITIONS
+ This position may be eligible for hybrid work in accordance with UW policy.
+ Occasional early mornings, evenings, or weekends required for conference support.
+ Minimal travel may be required for on-site educational events.
Compensation, Benefits and Position Details
Pay Range Minimum:
$61,368.00 annual
Pay Range Maximum:
$92,064.00 annual
