    The Mailroom Associate is responsible for managing all incoming and outgoing mail and packages, ensuring timely processing, accurate delivery, and excellent customer service. This role supports daily mailroom operations including sorting, tracking, and distribution of courier, USPS, and interoffice mail. The ideal candidate will demonstrate strong organizational skills, attention to detail, and the ability to work in a fast-paced environment while maintaining a professional demeanor and a strong commitment to service excellence.

    Key Responsibilities

    + Receive incoming mail and packages from USPS, FedEx, UPS, and messenger services; sign for express, registered, and certified items.

    + Sort all incoming mail, separate checks for member delivery, and organize remaining mail into assigned folders or cabinets for pickup.

    + Process incoming courier packages using the Brynka Internal Tracking System; label, log, and place items on racks for member pickup.

    + Notify members of incoming messenger packages and coordinate retrieval.

    + Physically deliver mail and courier packages by cart, dolly, or hand truck when required by select members.

    + Collect and process all outgoing mail and parcels; prepare USPS, UPS, and FedEx packages for pickup.

    + Process outgoing UPS shipments through the Brynka Shipping System and stage for carrier pickup.

    + Receive and hold outgoing messenger items for pickup and coordinate with members for large item storage and retrieval.

    + Maintain organized mailroom operations, ensuring all packages and mail are properly logged, tracked, and distributed.

    + Respond to member emails and inquiries regarding mail and package status in a timely and professional manner.

    + Provide exceptional customer service and maintain positive relationships with all clients and team members.

    + Send routine email notifications to members reminding them to retrieve mail or packages.

    + Perform additional mailroom duties as assigned to support site operations.

    Qualifications

    + Education & Experience:

    + High School diploma or equivalent required.

    + Minimum 1 year of office or mailroom experience preferred.

    + 1–3 years of experience with Microsoft Office software (Word, Excel, Outlook).

    + Customer service or office-related experience highly desirable.

    + Skills & Abilities:

    + Excellent verbal communication and phone skills.

    + Strong attention to detail with proven organizational and multitasking abilities.

    + Demonstrated ability to meet deadlines and handle multiple priorities effectively.

    + Strong work ethic; diplomatic, team-oriented, and service-focused.

    + Sound judgment, problem-solving, and decision-making skills.

    + Consistently professional demeanor, appearance, and attitude.

    + Proven ability to remain calm and professional under pressure.

    + Capable of maintaining confidentiality with sensitive or confidential information.

    + Assertive, resourceful, and self-motivated; able to take initiative without constant supervision.

    + Flexible and adaptable to changing work environments and priorities.

    + Other Requirements:

    + Reliable transportation required.

    + Excellent attendance and punctuality record.

    + Ability to lift up to 50 pounds.
