The Position: ATS is looking for a proactive and highly organizedAdministrative Assistantto join our team. This full-time role (40 hours/week) is ideal for someone who thrives in a fast-paced environment and enjoys handling a variety of administrative and operational responsibilities. This position plays a critical role in supporting office management, scheduling, and client coordination.
Responsibilities:
+ Maintain reports, files, archive folders, records
+ Maintain and draft reports as needed
+ Maintain computer software databases
+ Assist and maintain cost workups and billing needs
+ Communicate with client as needed
+ Coordinate work documentation with other offices/facilities
+ General filing as needed
+ Other duties as assigned
Qualifications
+ 3 - 5 years' in an office administrative role and/or relatable experience with a high school (or equivalent) diploma required
+ Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with database systems strongly preferred
+ Demonstrated ability to handle sensitive financial and client information with confidentiality and accuracy
+ Strong written and verbal communication skills; ability to communicate clearly with both internal stakeholders and external clients
+ Exceptional attention to detail with a high level of accuracy in all work performed
+ Must be a quick learner and become familiar with company internal systems and processes
+ Must have experience in A/P and A/R
+ Proven ability to manage multiple tasks simultaneously and prioritize workload effectively in a dynamic environment
+ Self-starter with the ability to work independently as well as part of a team
+ Experience using standard office equipment (e.g., printers, scanners, fax machines)
+ Ability to learn and comply with all company policies and procedures
+ Applicants must pass a background check and drug screen
