Overview
Under the supervision of the Director of Child Care, the Assistant to the Director Child of Care will provide support with the overall operation of all Child Care programs in Social Services of Greater New York. The Assistant to the Director of Child Care will provide ongoing support in creating and executing an annual plan to increase enrollment, as well as, assist with developing strategies to improve existing services.
Responsibilities
+ General office work filing, copying, invoices, ordering supplies and processing all Human Resources personnel and office related paperwork.
+ Reviews all documents for accuracy and compliance with SSGNY policies and procedures
+ Transmits all required documentation to Payroll Department in a timely fashion
+ Assists Director of Child Care with ordering, receiving, and distributing supplies to the Child Care staff and participants
+ Assists the Director of Child Care in maintaining and tracking staff PTO time, work schedule for the staff and ensures there is always adequate staff coverage.
+ Serves as a substitute at Child Care program sites if staff coverage is necessary
+ Understands policies and procedures, and Performance Standards and regulations of Department of Education (DOE), Child & Adult Care Food Program (CACFP), Department of Health (DOH), and Social Services of Greater New York, in order to effectively provide support to the Director of Child Care to interpret and enforce these policies, regulations, and standards
+ Assists Director of Child Care in DOH and DOE tracking requirements and mandates.
+ Completes, maintains and reports Union staff dues, Welfare Fund Medical, and ensures CIRS deductions are up to date and reports to Director of Child Care.
+ Updates DOE PETS Tracker and reports data entry to the Director of Child Care
+ Assists the Director of Child Care with DOE My Schools enrollment and Vendor Portal attendance
+ Assists Director of Child Care with coordinating Staff Professional Development Trainings.
+ Completes monthly enrollment reports.
+ Assists Director of Child Care in providing support to Educational Directors and Teachers when challenges related to Teaching Strategies curriculum arise
+ Collects and reports end of fiscal year closeout (children’s attendance, Children’s enrollment, Fee summaries from 12-month programs, Parents fee deposits, Stats, Vendor Listing, and Inventory list)
+ Assists Director of Child Care in collecting required documentation during an audit
+ Assists Director of Child Care with monitoring legislation and administrative regulations affecting Child Care and provides support to the Director of Child Care with creating and implementing an annual strategic plan of action when needed
+ Travel to all Child Care program sites to assist the Director of Child Care in monitoring staff and program participants
Qualifications
+ High School Diploma plus 3-5 years of administrative experience or 5 years of experience in a Child Care related field such as teaching or social services.
+ Knowledge of Microsoft Office required.
+ Good organizational, writing, and communication skills are essential.
+ Has respect and consideration for the participants and families being served.
