    Job Title: Project Manager, Events & Experiences

     

    Function: Group (corporate) Creative Services

     

    Reporting to: Director, Events & Experiences

     

    Job Dimension: No full-time direct reports, but responsible for overseeing project teams

    Key Responsibilities

    Event Strategy Planning:

    * Develop comprehensive plans for events, considering coordination, budgeting and timelines.

    * Collaborate with internal and external stakeholders, vendors and suppliers to ensure smooth event operations.

    * Responsible for creating and maintaining event briefs and presentations; leading and coordinating pre- and post-event meetings.

    * Contribute to the analysis of programs and makes recommendations for event re-alignment, changes and participation level for future events.

    * Responsible for management of vendor relationships.

    Marketing and Promotion:

    * Defines KPIs (key performance indicators) and support pre- and post-show activations.

    * Develop strategies with the business, commercial and marketing teams for promoting events through various channels such as social media, email campaigns, sponsorships and partnerships.

    * Conduct research on segments, end-markets, and channels to ensure execution of thoughtful and successful communications around and during experiences.

    * Coordinate with colleagues to ensure samples and solutions are represented in the events activation space.

    * Responsible for lead collection at events (when applicable.)

    Budget Management:

    * Create and manages budgets for events, ensuring cost-effectiveness and adherence to financial guidelines.

    * Negotiate pricing and contracts with vendors to secure favorable terms and pricing.

    * Negotiate and execute contracts for large- and small-scale events while utilizing our shipping and coordination partners.

    * Responsible for staying within budget parameters outlined, maintains event budgets, including expenses for each event.

    Stakeholder communication:

    * Communicate with executive level (C-suite/SVP/VP/Director level) stakeholders, vendors and sponsors.

    * Coordinate thought leadership program together with Marketing and Communications for major events, ensuring speaker tactics and coordination are secured.

    On-Site Management:

    * Oversee the on-site event operations, including set-up, registration, and coordination of activities.

    * Responsible for coordinating show services, meeting show deadlines and budgets related to event activities.

    * Engage with leads and prospects at the shows, while managing all information collection and reporting of leads post-events.

    Evaluation and Improvement:

    * Conduct post-event evaluations to analyze successes and areas for improvement, implementing changes for future events.

    * Work with the Demand Generation team to ensure viable leads are being processed into the CRM (Customer Relationship Management) system.

    * Implement changes and enhancements based on feedback to continuously improve future events.

    Creativity and Innovation:

    * Bring creativity to the planning process by introducing unique and engaging elements to enhance the overall experience.

    * Partner with Creative Services to support the development of design assets and layouts for physical space, including brand activation ensuring alignment with global strategy.

    Risk Management:

    * Identify and addresses potential risks, develops contingency plans to ensure the smooth execution of events.

    * Adhere to venue\u2019s guidelines for operation of staff and equipment on-site.

    Compliance:

    * Ensure compliance with legal and safety regulations throughout the planning and execution of events.

     

    Skills and Experience

    The ideal candidate has proven experience in event planning and management and:

    * Is extremely organized, detail and deadline oriented, able to handle multiple priorities concurrently and works gracefully under pressure

    * Has excellent communication and interpersonal skills, and is creative and innovative in event design

    * Works well with a cross-functional team, builds relationships, is proactive, flexible and a problem solver.

    * Has budgeting and negotiation skills and experience

    * Bachelor\u2019s degree in Event Management, Marketing, Hospitality, or a related field.

    * 5+ years of experience in event management or hospitality industry

    * Experience with CRM (Salesforce, Marketo, etc.)

    * Proficient in Microsoft Programs including Excel, PowerPoint, Word, Office

    * Knowledge working in Monday.com is a plus

    * Travel required 30 - 45%
