Job Description
The Department of Graduate Programs has an outstanding opportunity for a Program Manager to join their team.
The Program Manager- Graduate Programs reports to the Director of Graduate Programs and plays a lead role in recruitment processes and admissions, student experience, and transition to alumni. The POS works with the entire GPO team to elevate the school’s graduate programs to the highest degree possible. The role oversees program operations, develops and refines procedures, ensures program goals are met, and manages resources and timelines.
This position requires independent thinking and decisions that will support overall graduate programs’ goals and strategies, with respect to prospective and current students, faculty, and relevant campus and university stakeholders. Plays a critical role in prospective student recruiting, manages key programmatic experiences while tracking related budgets in close coordination with other staff members within the school and campus. The role is expected to apply expert knowledge of admissions systems to improve efficiency.
This position requires an understanding of the strategic goals and initiatives prescribed by the leadership of the school and the director of graduate programs, and the ability to translate those initiatives into operational actions and goals and meet those goals. The position plays a lead role in designing and managing recruitment and admissions processes, student onboarding and preparation, student learning experiences, and supporting marketing and recruiting efforts for the Graduate Programs. The individual must effectively engage with various constituents across the University advancing the reputation and prestige of the school and programs while fostering a collaborative and positive work environment.
Admission and Recruitment
+ Manage the admission process and utilize data to recommend improvements. Use data to evaluate and improve recruitment processes and develop systems and timelines to streamline admissions and enrollment.
+ Tracks and analyzes application data to guide strategic decisions that enhance the admission database and the inflow of application materials. Leverages technical solutions to optimize processes, including automation and efficiencies in Slate
+ Manage communications around program fees, financial aid, program pathways, informational events, application materials and committee applicant requests.
+ Work closely with the graduate admission committee and manage the petition process including submission to UW graduate school. Responsible for smooth and efficient communication between UW graduate school and the school until students are admitted.
+ Design and oversee protocols for consistent application review, including deadline management across cycles, equitable practices, and data security. Organize the review process to assess applications in an equitable and timely manner.
+ Review applicant files, make data-informed recommendations for candidate selection and identify candidates qualified for auto-admission versus committee review.
+ Conduct data analysis of applicant trends, applicant demographics, funnel metrics, and conversion rates/outcomes to identify opportunities for recruitment and conversion strategies and process enhancements and report those to the graduate director.
+ Responsible for developing and monitoring an automated communication plan that ushers an applicant through each stage of the application process from application to new student enrollment.
+ For each recruitment cycle and for each program, work with admission committees and Director and design application templates. Work with the UW Graduate School to launch promptly.
+ In SLATE, track the progression of prospective students through the entire admissions funnel all the way to enrollment. Proactively engage with prospects to ensure timely and positive progression toward enrollment. Develop and support creative initiatives to support those goals.
+ Conduct online information sessions, answer prospective students’ questions, and assist Graduate Director at major recruiting events.
+ Assist Graduate Director with the development of all communication, website, recruiting, and marketing needs.
+ Participate in student Orientation and successfully transition new students to graduate advisor.
+ Attend UW Graduate School Meeting regarding enrollment and admission procedures and policies.
Event Management
+ Manage planning, approvals, budget, and execution of off-site and on-site program events including, but not limited to off-site courses, student networking events, career management events, graduation events, application clinic, and recruiting events. Collaborate with the career center as needed. Other event support as needed. Primary point of contact for all event planning for graduate programs, in support of and as needed by the School of Business. Manage third-party vendors and get contracts approved.
Other Program Operations
+ Manage and track student fee budgets and provide Director and School’s leadership with regular updates and projections. Work with graduate advisor to ensure yearly collection of student fees.
+ Track advertising/marketing expenses and other key graduate program expenses and report back on spending.
+ Assess advertising materials and artifacts and evaluate whether they are aligned with marketing and advertising strategy.
+ Provide operational and fiscal guidance to the MBA Association for their annual conference planning. Guide them in navigating internal university processes, provide event best practice advice, and ensure compliance with university policies.
+ Manage documentation and retention procedures and ensure proper retention.
+ Ensure consistency in student experience for hybrid and online delivery of graduate programs. Provide faculty with guidance on best practices.
+ Manage MBA Global Tour course application, administrative process, and enrollment. Work with faculty to create course budget and course planning. Work with registrar and global office to ensure compliance.
+ Monitors all email inboxes and manages communications in a timely manner.

MINIMUM REQUIREMENTS:
+ Bachelor’s Degree in a business administration or related field and three years of experience in working with students or working in a recruiting, admissions, or marketing environment, or equivalent education / experience.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS:
+ Strong communication (written and oral) and interpersonal skills. Must be able to easily pivot based on changing priorities.
DESIRED REQUIREMENTS:
+ Familiarity with a University’s Graduate School policies and procedures
+ Experience working in an academic environment and especially higher-ed programs, with a focus on admissions, marketing, or event management.
+ Experience interacting with various stakeholders including applicants, prospective students, current students, alumni, and staff.
+ Strong knowledge of Excel, SharePoint, Microsoft Teams, and Zoom
+ Experience using Slate or other CRM system.
+ Experience working in a team context.
+ Familiarity with working with a diverse adult student population
CONDITIONS OF EMPLOYMENT:
+ Position reports to the Director of Graduate Programs
+ Office space provided for in-person interactions; limited telecommuting possible.
+ Position requires off-campus visits for off-campus organization of events; and regular evening and weekend activities
Compensation, Benefits and Position Details
Pay Range Minimum:
$70,800.00 annual
Pay Range Maximum:
$80,172.00 annual
