Position Summary:
Florida Atlantic University is seeking an Honors College Coordinator, Academic Support Services - Boca Raton, FL.
This position serves as a central hub of communication, coordination, and support within the Wilkes Honors College at Florida Atlantic University. The role encompasses a dynamic blend of responsibilities, including managing the College’s social media presence, producing weekly newsletters, and collaborating with Communications and Media Relations to ensure timely and effective outreach.
As the lead organizer for signature events such as the Scholarly and Creative Research Symposium, Convocation, and Medallion Ceremony, this position plays a key role in fostering community engagement and celebrating academic excellence. The role also supports academic operations through database management, tracking student and alumni achievements, and assisting with faculty and administrative needs.
With a strong emphasis on service, organization, and collaboration, this position contributes to the vibrant academic and student life of the Wilkes Honors College.
Summary of Responsibilities:
Communications:
+ Manages social media sites, including Facebook, Instagram, and LinkedIn.
+ Monitors the college’s email box, responds to general inquiries, and directs messages as appropriate.
+ Prepares and distributes a weekly newsletter with announcements for students, faculty, and stakeholders.
+ Collaborates with campus Communications and Media Relations staff.
+ Monitors the WHC website and makes updates in collaboration with others.
Event Planning:
+ Primary organizer for college events, including, but not limited to, annual Wilkes Honors College Scholarly and Creative Research Symposium, Wilkes Honors College Convocation, and Medallion Ceremony.
+ Prepares purchase requisitions and expense reports for event expenses and ensures that all invoices and honorariums are paid in a timely manner.
+ Maintains calendar of events for faculty/staff and publicizes events in collaboration with Communications and Media Relations.
+ Provides administrative support for the WHC Forum and writing portfolio evaluations.
+ Assists the Associate Dean of Academic Affairs & Research with meeting scheduling and preparations.
Database Management:
+ Assists with management of academic data related to scholarships, student success and retention, advisors, internships, and student concentrations, including input and manipulation.
+ Collects and updates student publication, award, and achievement information.
+ Tracks placement of WHC graduates in jobs and graduate and professional schools, and updates and maintains alumni database.
General Office Responsibilities:
+ Greets faculty, students, and guests, provides accurate information, and refers to the appropriate administrator or staff member as needed.
+ Assists with room and vehicle reservations, help desk tickets, and work orders
+ Responsible for timekeeping responsibilities, such as sending email reminders for submitting hours.
+ Initiates purchase requisitions and makes P-Card purchases for faculty research materials.
+ Processes Foundation TARs and reimbursements for student travel.
+ Perform other job-related duties as assigned.

Minimum Qualifications:
Master's degree from an accredited institution in an appropriate area of specialization; or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required.
Proficient in Excel with ability to learn advanced skills and other database and analysis software required.
Proficient in MS Office (Word, PPT, Outlook) required.
Excellent oral and written communication skills required.
Strong work ethic, dependability, and the ability to coordinate and prioritize multiple projects are essential required.
Salary:
$50,000 - $55,000 per year.
