    Statement of the Job

     

    The Application Processing Specialist provides critical support to the Admissions Office by ensuring accurate, timely, and compliant processing of specialized applications. This role involves detailed data entry, record management, and coordination with other campus offices to maintain smooth application workflows.

     

    This is a temporary position lasting three months from date of hire. The starting rate is $18.13 for this position.

    Essential Functions

    • Review and verify completeness of application materials for accuracy and compliance with university and system standards.

    • Ensure timely routing of applications for review, decision, and communication processing.

    • Coordinate with Admissions, Registrar, Financial Aid, and Shared Processing Center staff to resolve data discrepancies or missing information.

    • Maintain detailed electronic records and track application progress through completion.

    • Identify and correct data errors or inconsistencies in student information systems.

    • Support audit and quality-control checks to ensure data integrity and compliance with FERPA and institutional policies.

    • Assist in developing and refining workflow procedures to improve efficiency and accuracy in application processing.

    • Provide clear, professional communication with internal and external stakeholders regarding application statuses or required materials.

    • Contribute to the overall effectiveness of the Admissions Office by supporting process improvement initiatives and maintaining confidentiality of applicant records.

    Required Qualifications

    + Associate’s degree or equivalent combination of education and experience.

    + Strong attention to detail and accuracy in data entry and record management.

    + Experience working with databases or student information systems (e.g., MaineStreet, ImageNow, Salesforce).

    + Ability to manage confidential information in compliance with FERPA and institutional policies.

    + Strong organizational and time-management skills with the ability to meet deadlines.

    + Effective written and verbal communication skills.

    + Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.

    About the Region

     

    The surrounding town of Fort Kent is a welcoming town of approximately 4,000 people who are active in various festivals, community gatherings, and civic work. UMFK is embedded near the center of town allowing easy access to amenities and the community at large. Fort Kent, one of Maine’s northernmost towns, is the beginning of two highways: U.S. Route 1 and Route 11. The famous scenic U.S. Route 1 starts in Fort Kent and passes through the easternmost towns of Maine bordering Canada and ends up in Key West, Florida. The town also serves as a gateway to the Allagash Wilderness Waterway. From the Allagash Waterway through a forested wilderness, an adventurous canoe trip will take one down to the St. John River. Excellent alpine and cross-country skiing are additional attractions of the community. Of special note is the five-minute walk from the UMFK campus to the beautiful Fish River which flows into the St. John River that serves as the international boundary between Maine and New Brunswick, Canada.
