Job Title: Facilities Coordinator
Job Description
The Facilities Coordinator plays a crucial role in supporting the regional team with various desk-oriented tasks that aid in operations. This fully on-site position requires a dedicated individual to manage service contracts, purchase orders, supply ordering, vendor coordination, and internal meetings. The coordinator will also document, coordinate, and communicate facility conditions for a prominent healthcare institution.
Responsibilities
+ Assist Facility Managers with incident response by disseminating appropriate communication following standard protocols.
+ Aid Facility Managers with site inspections and related follow-ups.
+ Coordinate with vendors and internal teams on contract-purchase order paperwork for site operations.
+ Assist in generating annual letters to landlords regarding compliance with Fire Life Safety regulations and follow up on receipt.
+ Address new site activation by creating necessary materials such as welcome packets.
+ Organize contracting, purchasing paperwork, and cost tracking for site-related projects.
+ Maintain standards information for furniture, carpet, fabrics, and finishes, and support furniture inventory management.
+ Coordinate ICRA/PCRA documentation as needed.
+ Ensure financial management at the purchase order level in collaboration with Facility and Business Managers.
+ Assist with database updates for customers, suppliers, and landlords, and collaborate with Lease Administration as needed.
+ Handle event coordination for town halls, HR events, and Campus Council.
+ Prepare condition assessments of each area/facility with appropriate documentation and follow-up.
+ Review documentation for completeness according to standard work.
+ Document and generate reports from the data electronic system.
+ Manage, update, and report on the status of the work order calendar.
+ Collaborate with the Director and Facility Managers on financial analysis, forecasting, and need assessments.
Essential Skills
+ High School Diploma or GED
+ 1+ years of related work experience
+ Proficiency in Microsoft Office Suite applications
+ Knowledge of general practices, programs, and administrative specialties
+ Familiarity with project management principles and practices
+ Strong command of English grammar, spelling, and punctuation
Additional Skills & Qualifications
+ Customer service skills
+ Vendor management experience
+ Facilities maintenance knowledge, including plumbing, electrical, HVAC, repair, painting, mechanical, and carpentry
+ Experience in facility management and maintenance
+ Skill in using hand tools and performing preventive maintenance
+ Understanding of MEP, drywall, and facilities management

Work Environment
This position operates within a structured on-site setting from 8:00 am to 5:00 pm. The role involves using Microsoft Office tools and engaging in various maintenance tasks, requiring a proactive approach to managing facilities and coordinating events.
Job Type & Location
This is a Contract position based out of Stanford, CA.
Pay and Benefits
The pay range for this position is $32.33 - $43.38/hr.
