    Cabinet Peaks Medical Center is looking for a Rehab Lead Assistant to join our Rehab team!

     

    Responsible for workflow efficiency and accountability of reception team duties with workload emphasis on maintaining expertise in and performing billing and health information integration for the Rehabilitation Department and the rest of Cabinet Peaks Medical Center (CPMC). This role is intended to be a working lead position for the reception team in all aspects of their job description, staffing coverage, and to lead the Rehabilitation Department’s integration into the revenue cycle for all clinic locations. Specifically responsible for timely maintenance of charge entry and medical record availability and accuracy in the electronic medical record of note, tracking and maintaining insurance visit allotment and prior authorization requirements with integration of CPMC Prior Authorization Department, and to maintain efficient patient flow and communication regarding the referral, billing, and scheduling process. Additional responsibility to audit the non-clinical workflow portions of the patient experience to maintain best practice, regulation compliance, and minimize downstream errors. This role will work primarily with and report to the Rehabilitation Services Manager, but is also expected to regularly take direction from and maintain a good working relationship with the Revenue Cycle Manager and team. The leadership aspect of this role is to maintain a positive work environment with a happy patient facing reputation and prioritization and participation in process improvement and development efforts. This role will also take leadership in both inter and intra departmental training with disbursement of that training to Rehabilitation Department staff and new hires. This position is also responsible for maintaining stock of and organization of established clinic use items for all therapy disciplines and the supporting office. Proactive resolution and improvement of operations and patient experience is expected.

     

    Major Job Duties & Responsibilities

     

    Responsible for performing a variety of duties in support of the rehabilitative department. Responsible for providing clerical, secretarial, and receptionist support for the Rehabilitative Department. Answers phone calls, files, faxes, copies, schedules patient appointments, registers new patients, prepares charts, enters billing charges, and performs other duties as assigned. Obtains insurance pre-authorizations and follow up as required by each payer on all insured patients. Works with manager to maintain an efficient work flow within and between the 2 clinics and hospital. Functions as a resource for all disciplines and patients and may be stationed at the front desk to greet customers. Responsible for performing tasks related to patient care in accordance with the law for physical/occupational/speech therapy as requested. Prepares patients, equipment, and environment for effective, efficient and safe patient care. Participates in operational aspects of the department, maintains performance improvement activities within the department and participates in continuous quality improvement activities. Participates in all departmental training and safety programs as required.

     

    Skills, Knowledge, & Abilities

     

    Must have clerical skills and knowledge of use and operation of standard office equipment and systems

     

    Knowledge of and ability to rapidly learn medical record, scheduling, and patient billing systems.

     

    Must possess effective and positive communication and writing skills.

     

    Must be detail oriented with excellent organizational and multi-tasking skills with the ability to function well under pressure.

     

    Must possess valid DL; may be required to travel to other hospital buildings, satellite clinic, or out of town to attend meetings.

     

    Must possess computer skills in order to use e-mail, Word, Excel, Power Point, internet, electronic medical records, etc.

     

    Must be able to function and excel in a team environment and relate positively and favorably to staff, patients, visitors, families, and physicians.

     

    Ability to provide patient care related tasks as directed by therapists (PT/OT/ST) to increase efficiency of the rehab department.

     

    Ability to clean, track, and maintain therapy equipment within policy.

     

    Must possess the ability and skillsets to effectively manage, train, maintain, and grow a small team in a detail-oriented profession.

     

    Must be comfortable being the go-to for non-clinical department needs.

     

    Must be comfortable being the communication hub for the department as a whole.

    Education Requirements

    High school graduate or equivalent.

     

    BLS certification preferred, must obtain within 3 months of hire.

     

    Must pass an approved medical billing course and certification within 6 months of hire.

    Experience

    Patient care experience in a hospital, rehabilitative services department/facility, or nursing home is preferred, but not required.

     

    5 years minimum of medical billing, insurance and authorization experience required.

     

    Must have 5 years office management and training experience.

     

    Schedule

     

    Eight (8) Hour Shifts Monday through Friday preferred.
