    Post Submission Specialist / Rebuttal Administrator - FileSmart

    About the department

     

    The FileSmart department assists our automotive dealership clients with increasing their warranty parts and labor reimbursement rates with their manufacturers

     

    About the Role

     

    The Level 1 Post Submission Specialist or Rebuttal Administrator is responsible for completing any post-submission requests from manufacturers to finalize the warranty rate increase process. This position is responsible for completing outbound survey calls, reviewing dealership repair order documentation, and working closely with clients and internal teams to ensure success of our warranty reimbursement filing process.

     

    What You Will Need

     

    + 1+ years automotive industry experience

    + Demonstrates enthusiasm and persistence in communicating with clients and team members

    + Must be able to work independently, execute defined processes, and be well organized

    + Must have strong analytical skills and pattern recognition skills

    + Must be attentive to detail, able to effectively manage time, manage multiple accounts and priorities, and able to work well in a remote environment

    + Strong knowledge of Google Workspace and Microsoft Office

    + Ability to learn new software applications and be comfortable working on diverse types of computer programs

    Essential Duties

    + Complete post-submission requests from manufacturers, such as performing outbound surveys via phone, reviewing dealer repair orders, and preparing response letters to the manufacturer

    + Effectively communicate with client Dealership Management, internally and with Dealership Management via phone and email

    + Translate information from client invoices to Excel for submission to automotive manufacturer

    + Utilize proprietary software to identify patterns in dealer’s warranty data

    + Review daily/weekly reports and provide updates to management as necessary

    + Ensure defined processes and verbal instructions are followed and completed in an efficient manner and that priority items are addressed within the given timelines

    + Maintain effective task notes through excellent documentation and organization while utilizing CRM, Google Docs, etc.

    + Other duties and special projects assigned or approved by management
