    GENERAL DUTIES

    The Office of Human Resources is launching a strategic project to digitize all personnel files in support of Lehman College’s commitment to operational efficiency, enhanced record accessibility, and compliance with institutional and legal recordkeeping requirements.

     

    Given the scope of this initiative and the sensitive nature of personnel data, the College seeks two part-time College Assistants dedicated exclusively to this project. These appointments will enable the HR Office to complete the digitization process securely and efficiently while maintaining uninterrupted delivery of core HR services. This appointment is 100% in person, Monday through Friday, 20 hours per week, and is temporary through June 30, 2026.

    Duties and Responsibilities:

    Under the supervision of the HR Specialist, the College Assistants will:

    • Systematically scan and digitize physical personnel files for all employee categories.

    • Organize and index digital records within designated storage systems.

    • Verify file accuracy and completeness prior to upload.

    • Ensure confidential and sensitive information is handled in compliance with CUNY, State, and federal privacy and records retention policies.

    • Maintain detailed tracking logs of files digitized and files pending processing.

    • Coordinate with HR staff to identify and resolve discrepancies or missing documentation.

    • Assist with file naming conventions, metadata tagging, and secure disposal of outdated paper copies as appropriate.

    • Support internal audit readiness by ensuring digital files meet compliance standards.

    • Perform related duties as assigned.

    Employment Details:

    • Part-time, hourly appointment.

    • Work schedule to be determined based on project needs and HR Office operations.

    • Employment is contingent upon successful completion of a background check.

    MINIMUM QUALIFICATIONS

    • High school diploma or GED required.

    • Prior clerical, administrative, or HR experience preferred.

    • Strong attention to detail and ability to maintain confidentiality.

    • Proficiency in Microsoft Office (Word, Excel, Outlook) and document-scanning systems.

    • Ability to organize and manage large volumes of data accurately and efficiently.

    • Excellent communication and teamwork skills.

    COMPENSATION

    Salary $19.12 per hour, 20 hours per week.

    CUNY offers a comprehensive benefits package to employees and eligible dependents based on job title and classification. Employees are also offered pension and Tax-Deferred Savings Plans. Part-time employees must meet a weekly or semester work hour criteria to be eligible for health benefits. Health benefits are also extended to retirees who meet the eligibility criteria.
