Your Impact
As the Foundation's Administrative Manager, you will be the operational backbone and ambassador for SPPF as the Foundation's sole full-time employee. You will manage day-to-day operations, support the volunteer Board of Directors, and foster connections between students, industry, and the broader community. You will champion our mission to empower the next generation of engineers to drive innovation in sustainable materials.
Key Responsibilities
+ Act as Board Secretary and main contact for directors, committee chairs, corporate members, faculty, staff, students, their families, local high schools, and other stakeholders.
+ Organize two annual foundation meetings (fall and spring), handling attendee communication, catering, venue booking, hotel arrangements, and AV setup coordination.
+ Coordinate monthly or quarterly virtual meetings for board committees by scheduling recurring sessions, documenting and distributing meeting minutes, and ensuring timely follow-up on post-meeting commitments.
+ Manage accounting activities using QuickBooks, handle invoice payments, student grant and scholarship awards, and annual audit preparation.
+ Produce monthly financial reports for the Executive and Finance Committees, close accounts annually each June, and work with the auditing firm to generate the annual financial report.
+ Coordinate the development of the Annual Report in collaboration with the foundation's marketing contractor and committee chairs and oversee its distribution to members alongside annual membership donation drive request forms each fall.
+ Help advance the SPPF mission by working with student clubs, coordinating industry talks and interviews, collaborating with SUNY ESF staff on Engineering Camp, and connecting with prospective students and families at open houses, career fairs, and high school visits.
+ Maintain the Foundation's presence on social media and the SPPF website by keeping information up to date about events, updating photos, and other minor changes.
+ Engage with various professional support teams: Attorney, Accountant, Investment Advisor, Marketing contractor, Insurance agent, Printer, and others as needed.
+ Communicate promptly with sponsors, alumni, donors, and students through email, phone, or mail.
+ Ensure compliance with record retention and reporting standards.
+ Travel each January with students from the Sustainable Chemical Engineering Club to the TAPPI Student Summit as their sponsor and chaperone, as well as to TAPPICon each April for the PPERA all paper foundations meeting.
+ Maintain a dedicated office in Walters Hall on the SUNY ESF campus with an open-door policy to encourage effective student mentorship and support. While a hybrid work schedule may be considered, consistent, on-campus availability throughout the academic year is expected.
Job Requirements:
Required Qualifications:
+ BS Degree or 8 years of experience in a non-profit or engineering industry experience
+ Demonstrated experience in managing a small business, non-profit, or comparable organization, including financial duties such as preparing and assessing financial reports and reviewing investment documentation.
+ Strong computer skills including but not limited to the following:
+ Document creation tools: Microsoft Office Suite (Word, Excel, PowerPoint, Forms, Publisher), Adobe Acrobat, and Google Docs.
+ Digital collaboration tools: Teams, Zoom, DocuSign, Google Drive, etc.
+ Financial tools: QuickBooks, PayPal, etc.
+ Ability to quickly learn new computer software or other digital media.
+ Professional communication and interpersonal skills across a breadth of audiences, from students to CEOs.
+ Ability to interpret policies, analyze issues, and recommend solutions.
+ Strong analytical, problem-solving, and independent judgment skills.
Preferred Qualifications:
+ Experience or familiarity with paper, packaging, or related industries gained through previous employment or other industry involvement.
+ Experience working with area high school counselors and teachers for recruitment of prospective students, or other recruiting experience.
+ Prior experience with email marketing tools such as Constant Contact.
+ Social media skills, including creating posts, sharing relevant information, updating profiles, accepting/requesting connections, etc. on Facebook, LinkedIn, and Instagram,
+ Basic website management, such as minor content updates, adding updated photos or videos, etc., utilizing a platform such as WordPress.
