Job Description: Payroll Clerk
The Payroll Clerk is responsible for ensuring accurate and timely processing of employee compensation. This role involves collecting and verifying timesheets, calculating wages, processing payroll, and maintaining records of employee pay and deductions. The Payroll Clerk plays an essential role in maintaining the organization's compliance with federal, state, and local payroll regulations while supporting employee satisfaction with on-time and correct payments.
Key Responsibilities:
+ Process Payroll: Prepare and process payroll for employees, ensuring accurate payment of wages and compliance with organizational policies.
+ Verify Timesheets: Collect and review employee timesheets for accuracy, resolving discrepancies as needed.
+ Calculate Pay: Calculate hours worked, overtime, bonuses, tax withholdings, and other adjustments to determine accurate payment amounts.
+ Maintain Payroll Records: Update and maintain payroll information in company systems, including employee benefits, deductions, and tax information.
+ Resolve Issues: Address payroll-related inquiries from employees and resolve discrepancies or issues with payments.
+ Coordinate with HR & Accounting: Collaborate with human resources and accounting departments to ensure payroll aligns with employee contracts, benefits, and budget requirements.
+ Ensure Compliance: Stay current on payroll laws and regulations, such as tax codes, wage laws, and benefits deductions, to ensure adherence.
+ Generate Reports: Prepare payroll reports, summaries, and documentation for audits or management review.
+ Support Year-End Processes: Assist in issuing tax forms, such as W-2s, and reconciling payroll records during year-end payroll activities.
+ Improve Processes: Identify opportunities to streamline and improve payroll systems and processes for greater accuracy and efficiency.
Requirements
Preferred Qualifications:
+ High school diploma required; coursework or certification in payroll, accounting, or finance preferred.
+ 1-2 years of experience in payroll or accounting-related roles.
+ Proficiency with payroll software (e.g., ADP, Kronos, Paychex) and Microsoft Office Suite (Excel, Word).
+ Familiarity with payroll regulations and tax laws (e.g., FLSA and IRS requirements).
+ Strong organizational skills and attention to detail.
+ Ability to work accurately in a deadline-driven environment.
+ Effective communication skills for resolving employee queries and working with cross-functional teams.
