    The Work You Will Do:

    Operations Analyst I/Office of Toll Operations

     

    This position will provide support to the Transportation Operations work units while establishing and facilitating relationships, and working closely with the Department heads to identify areas where assistance can be provided in the administration aspect of the office

    Your Specific Responsibilities:

    Provide support to the Transportation Operations work units. Establish and facilitate relationships. Work closely with the Department heads to identify areas where assistance can be provided in the administration aspect of the office. Participate in the Operations admin support team.

     

    Assist with deliveries, including Turkey Lake and statewide. Maintain, monitor and update the team's calendars and include travel information on the invites. Prepare itineraries and reimbursements for the Operations team as needed. Prepare written correspondence for the Operations team. Review correspondence, invoices, contracts, and other documents sent to the Operations team for authorization and signature to ensure that they are complete, properly prepared, and in compliance with appropriate policies and procedures. Ensure documents and correspondence are ready for final signatures, ensuring correct grammar, punctuation, and spelling. Assist in recommending changes to existing processes to improve the operations team. Assist various departments, personnel, and partner agencies in locating information. Make travel arrangements for the Operations team. Performs assigned and special projects to ensure and enhance operations.

     

    Make various purchases for Operations Departments, following the Department’s purchasing and payment procedures and guidelines, and process all invoices promptly, assuring full compliance with State Statutory requirements. Ensures goods and services are received and are acceptable before processing payment. Researches, obtains, and compiles preliminary information required to formulate management decisions. In preparation for staff meetings, research pertinent materials and provide participants with background information. Review Property Management Reports (PMRs) for accuracy and completeness and route them for authorization. Maintain and submit monthly mileage reports for designated pool vehicles. Process monthly mobile charges as needed.

     

    Maintain a current detailed contact list and organization chart for all unit managers and the Operations Team. Ensure directory information for all unit staff is current and properly maintained. Act as the custodian for unit employee information, including hire dates, fuel card numbers, and emergency contact information. Monitor the onboarding process and ensure items are complete. Responsible for initiating Automated Access Request Forms (AARF) on behalf of unit managers to establish and modify access to various Department systems and applications. Serve as a Safety Captain, ensuring an up-to-date personnel listing. Serve as a Cost Center Delegate for Workplace Contingency Plan Builder (WPCPB).

     

    Assist in the development and maintenance of the network shared drive, Microsoft (MS) Teams site, and SharePoint site. Manage and administer access to data systems. Serve as a point of contact for the Operations SharePoint site, creating sub-sites as needed and approved. Ensure content is accurate and up to date. Monitor and update information on the SharePoint site, as requested or needed. Organize documents in folders and routinely upload information as received. Assist with the archiving of documents with the record retention team and ensure the timeliness of records archived and those to be removed due to expiration of the retention period. Oversee and ensure the organization of record files. Ensure all personnel who require permissions have the correct level of access to the electronic sites. Assist in the timely response to Public Records Requests.

     

    Supports the Emergency Operations Center in times of activation.

    The Successful Candidate will have the following required Knowledge, Skills, and Abilities:

    Knowledge of:

    + administrative and office support principles and practices

    + policies and procedures for purchasing goods/services and processing and/or approving purchasing card invoices

    + records retention procedures
