Job Purpose
The Document Control Lead oversees the organization, accuracy, and integrity of all project-related documentation to ensure efficient information flow and compliance with internal standards and regulatory requirements. This role provides leadership and guidance to the document control team members, manages document management systems, and ensures that all records are properly created, maintained, distributed, and archived throughout the project lifecycle. The Document Control Lead collaborates closely with other stakeholders to ensure documentation supports timely project execution and audit readiness.
Key Duties & Responsibilities
The Role’s responsibilities include, but are not limited to:
+ Oversee andmaintainboth electronic and physical document control systems,ensuringall project and company documentation isaccurate, accessible, and compliant with internal standards and regulatory requirements.
+ Lead and support document control staff in managing the full document lifecycle including creation, review, approval, distribution, and archivingwhile enforcing document control policies and procedures.
+ Coordinate and manage the registration, formatting, and submission of technical documents such as drawings, specifications, procedures, and reports within internal and client systems or portals.
+ Ensuretimelyandaccuratedistribution of incoming and outgoing documents, verifying correctrevisionsandmaintainingtraceability throughout all project phases.
+ Monitor and audit documentation to verify accuracy, compliance, and alignment with project and quality control standards; implement corrective actions as needed.
+ Collaborate with project teams, engineers, vendors, and clients to resolve document control issues, confirm documentation accuracy, andmaintainconsistent communication flow.
+ Develop and deliver training on document control processes, systems, and best practices to project and support teams.
+ Generate and distribute reports on document status, progress, and metrics for management and project stakeholders.
+ Coach, motivate, and guide team members toanticipateworkload changes, improve efficiency, and uphold quality standards in document control operations.
+ Contribute tocontinuous improvement byidentifyingopportunities to streamline document management systems and enhance compliance and data integrity.
Required** **Experience
+ High school diploma or GED (General Education Degree).
+ Minimum3+ years of experience in document control, records management, or project administration.
+ Prior experience in supervisory roles is a plus.
+ Expediting experienceis preferred.
Skills & Abilities
+ Demonstratedexpertisein document management systems (DMS) and electronic filing toolssuch asRAZOR and/orother MRC Global specific software.
+ Proven ability to manage the full lifecycle of documents — from creation and revision through approval, distribution, and archival — in compliance with corporate and regulatory requirements.
+ Strong understanding of quality standards, version control, and audit procedures within a controlled documentation environment.
+ Exceptional organizational, analytical, and communication skills with the ability to lead,trainand mentorothers in document control best practices.
+ Ability tomaintainstrict confidentiality (specificallyregardingdepartment,contractsand original cost of material), to prioritize multiple tasks, and to work.
+ Proficiencyin Microsoft Office Suite (Word, Excel, Teams, Outlook) and experience formatting or managing technical documentation.
+ Excellentverbal and writtencommunicationskills.
+ Strongorganizationskills and attention to detail.
+ Time managementskills with a proven ability to meet deadlines.
+ Ability to read and speak the English language proficientlyand to respond toinquiries.
Working Conditions
+ Most work is performed at a desk or in front of a computer.
+ Able to sit/stand forlong periodsof time.
+ Maybe required towork scheduled and unscheduled overtime
