The Registration and Records Coordinator provides essential support for the daily operations of the Office of the Registrar, with a focus on student registration, enrollment, and academic records processing. This role ensures accurate record-keeping, timely service, and compliance with CUNY policies, while delivering a high level of service to students, faculty, and staff.
Key Responsibilities:
Registration Processing
+ Assist with registration troubleshooting, including duplicate record resolution, backloading, and system overrides where appropriate.
+ Process student registrations for special populations including non-degree/visiting students, senior citizen auditors, and ePermit (CUNY and non-CUNY) requests.
+ Support pre-registration (CNOW) and other immersion program activities and updates to student majors/minors.
+ Respond to student and faculty inquiries regarding enrollment issues.
Records Management
+ Process grade changes (undergraduate, graduate, doctoral) and special grades (PEN, INC, WN).
+ Manage course withdrawal transactions, including medical withdrawals (WA), department-approved withdrawals, and reinstatement requests for dropped courses.
+ Support student reentry and reconnect processing, ensuring accurate updates to records.
+ Maintain records for committee actions (CAS, DEC, DOS) and curriculum updates.
Policy & Compliance Support
+ Apply academic policies consistently when processing student records and registration requests.
+ Monitor and ensure timely processing of exemption and waiver requests.
+ Maintain confidentiality and accuracy of academic records in compliance with FERPA and CUNY guidelines.
Collaboration & Service
+ Serve as a point of contact for students, faculty, and staff regarding registration and records processes.
+ Collaborate with other offices Advisement, Financial Aid, Bursar, etc. to resolve student issues.
+ Assist in special projects, training, and system testing as directed.
QUALIFICATIONS
Minimum Qualifications
+ Bachelor's Degree required.
Preferred Qualifications:
+ At least 1–2 years of experience in higher education student services, records, or related administrative role.
+ Experience with PeopleSoft/CUNYfirst or similar student information systems.
+ Familiarity with CUNY academic and enrollment policies.
+ Strong organizational skills, accuracy, and attention to detail.
+ Excellent written and verbal communication skills.
+ Demonstrated ability to provide high-quality customer service in a fast-paced environment.
+ Knowledge of FERPA and higher education compliance requirement
CUNY TITLE OVERVIEW
Provides operational support for registration operations.
- Provides advice on academic and administrative registration requirements
- Interprets and communicates academic, registration and enrollment policies and procedures
- Assists with registration and provides information to prospective and enrolled students in registration and records-related areas
- Complies, generates, and updates various reports, catalogs, and inventories
- Maintains compliance with established record release procedures, including the Family Education Rights and Privacy Act (FERPA)
- Collaborates with College and University offices to address inquires and concerns and resolve student registration and record problems
- May participate in activities related to course scheduling and maintaining course databases
- May monitor and revise the content of web pages and other communication materials
- Performs related duties as assigned.

COMPENSATION AND BENEFITS
$66,154- $68,668; Salary commensurate with education and experience.
