    Merchandising & Supply Chain Administrative Assistant Location: Fort Wayne, IN Department: Merchandising & Supply Chain Reports To: Vice President of Merchandising & Vice President of Supply Chain Level: Hourly Status: Full-Time Position Summary We are seeking a proactive, detail-oriented Administrative Assistant to support our Merchandising & Supply Chain Divisions. This role plays a critical part in keeping our operations running smoothly, coordinating departmental workflows, managing reports and communications, and providing direct support to the Vice Presidents and the broader team. The ideal candidate is proactive in nature, highly organized, tech-savvy, and capable of managing multiple priorities in a fast-paced, product-driven environment. They must demonstrate strong written and verbal communication skills, a collaborative spirit, and a drive for operational excellence. Key Responsibilities Administrative Support & Team Coordination

     

    + Provide daily administrative support to the VPs and division leaders.

    + Coordinate and maintain team calendars, meeting logistics, and travel arrangements.

    + Support team with onboarding documentation, internal communications, and general office support.

    + Administration of merchandising programs as assigned.

    + Plan and facilitate divisional events as requested.

     

    Data & Report Management

     

    + Compile product performance, sales, and vendor data using Excel and internal systems.

    + Create and maintain reports, dashboards, and presentations to support merchandising strategies.

    + Track departmental KPIs, goal progress, and initiative timelines.

     

    Vendor & Internal Communication

     

    + Assist members with management of merchandising programs

    + Work with communications on targeted emails to members.

    + Collaborate with other divisions such as Sales, Marketing, Logistics, Sales, Human Resources, and IT to execute projects and resolve issues.

     

    Project & Process Support

     

    + Support planning and execution for biannual Markets, including team updates, prep work for exhibits, product orders, document preparation and record keeping.

    + Organize and manage digital records including product files, promotional assets, and contract documents.

    + Assist with purchase orders, invoice tracking, and general merchandising operations as needed.

     

    The manager has discretion to add any additional projects to support the business. Qualifications Education & Experience

     

    + High school diploma required; Associate’s or Bachelor’s degree in Business, Merchandising, or a related field preferred.

    + 2–5 years of relevant administrative or merchandising support experience.

    + Familiarity with ERP systems (ex. JDA, Oracle) and reporting tools (ex. Power BI, Excel) preferred.

     

    Skills & Competencies

     

    + Strong proficiency in Microsoft Office Suite (Excel, Outlook, Access, Word, PowerPoint).

    + Excellent organization and multitasking skills with attention to detail.

    + Strong written and verbal communication abilities.

    + Self-starter with the ability to work independently and manage multiple priorities.

    + A positive, service-oriented attitude and strong team collaboration skills.

    + Comfortable handling confidential information with professionalism and discretion.
