    Description

    We are looking for a dedicated and detail-oriented Administrative Services Associate to join our team in Silver Spring, Maryland. In this contract role, you will play a key part in ensuring smooth day-to-day operations by managing administrative tasks and providing excellent customer service. This is an onsite position where you will collaborate closely with the management team to support business needs effectively.

     

    A core piece of this role is processing invoices, so having that experience will be a huge bonus! MUST be detail oriented.

    Responsibilities:

    • Answer incoming calls and address inquiries or direct them to the appropriate team members.

    • Welcome and assist guests in a courteous and attentive manner while adhering to visitor protocols.

    • Review, validate, and submit invoices for approval, ensuring accuracy and resolving any discrepancies.

    • Prepare and manage purchase orders as well as track contracts and renewals.

    • Coordinate with vendors and suppliers to ensure timely order fulfillment and address any concerns.

    • Maintain accurate and confidential files, databases, and company forms as required.

    • Use Microsoft Office Suite tools to manage schedules, create documents, and maintain records.

    • Assist in troubleshooting basic technical issues and navigating various systems and applications.

    • Support the management team with other administrative tasks to ensure efficient office operations.

     

    Requirements • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

     

    • Strong interpersonal skills with the ability to greet and assist guests effectively.

    • General knowledge of computer systems and the ability to troubleshoot basic technical issues.

    • Excellent organizational skills with the ability to multitask and prioritize responsibilities.

    • Strong communication skills, both written and verbal, to interact effectively with team members and vendors.

    • Prior experience in administrative roles or related fields, with 0-2 years preferred.

    • Familiarity with invoice processing, purchase orders, and property management is a plus.
