The Legal Operations Coordinator will support the Legal Operations Specialist with day-to-day vendor management operations. The role’s responsibilities will also include light administrative support for the Chief Compliance Officer (CCO).
Primary Responsibilities:
**Vendor Management Support** :
+ Supervise the intake, review, and approval process for vendor invoices.
+ Implement and enforce billing guidelines to ensure vendor compliance with company policies.
+ Provide support to vendors and internal stakeholders regarding billing issues.
+ Oversee the review and approval of proposed timekeeper rates in the e-billing system.
+ Manage the onboarding process for new vendors.
+ Coordinate effectively with Corporate Accounting and Treasury teams on accounts payable issues, settlement payments, check requests and payment requisitions.
+ Create and manage service tickets in the Passport Client Support Portal to ensure timely resolution of issues.
+ Oversee the weekly domestic and foreign payment runs, including the post and reconciliation files.
+ Manage the Toxic Tort monthly report and create insurance reimbursement credits in the e-billing system.
+ Generate and process ad hoc departmental monthly reports
+ Update the monthly PEG rate in the e-billing system.
+ Process the CPI Intellectual Property quarterly annuity credit in the e-billing system.
+ Assist with managing the Legal Department subscriptions (e.g., membership management).
+ Maintain clear documentation of Legal Operations processes, procedures, and checklists to promote consistency and reduce errors; regularly update team SharePoint sites to reflect current practices and support process improvement efforts.
+ Monitor and resolve daily Passport system errors in the Error Manager and Failed ePackets.
Additional Administrative Support:
+ Administrative support for the CCO which includes scheduling and expense reporting.
+ Will support various department activities and special projects as directed
Qualifications
+ Bachelor's Degree is required.
+ Experience with legal technology systems, with a preference for experience using Passport Cognos.
+ Microsoft 365 proficiency, to include experience working in SharePoint and using Excel to analyze data.
+ Tech-Savvy; Ability to speak/understand technical language and translate for others and avoid misunderstandings. Solid experience developing, documenting, and improving processes.
+ Strong written and verbal communication skills.
+ Self-starter that always ensures strict confidentiality.
Compensation Information:
The compensation package for the role offers a non-exempt rate ranging from $31.00 to $36.50 hourly.
