UPMC Altoona is proud to announce the launch of the UPMC Mercy School of Nursing at Altoona, a transformative 16-month diploma program designed to empower aspiring nurses in our region. As we prepare to welcome our inaugural class in Fall 2026, we are seeking a candidate with experience in an education setting to support our School of Nursing as the Coordinator for Student Records.
This role serves as a key liaison between Student Support Services, Financial Aid, and Admissions, ensuring seamless coordination and compliance across student documentation, enrollment processes, and academic records. You'll play a vital part in maintaining the integrity of student files, facilitating enrollment transitions, and delivering high-quality service to students, faculty, and staff.
Key Responsibilities:
+ Collaborate with Student Support Services and Financial Aid to ensure timely and accurate reporting of student documentation, enrollment status changes, and transfer credits.
+ Maintain compliance by auditing education files and verifying the completeness and accuracy of required documents.
+ Coordinate with admissions and academic teams to communicate academic changes and updates.
+ Collect and post faculty grade reports to student transcripts.
+ Build and distribute student schedules prior to each term, including notifying students of required books or software.
+ Monitor and report graduation rates and student retention metrics, support ad hoc reporting needs.
+ Review incoming official transcripts for transfer credit eligibility and update student records accordingly.
+ Conduct regular audits of new student files to ensure compliance with admissions and financial aid requirements.
+ Engage in proactive outreach to students regarding missing transcripts and other documentation.
+ Track attendance records and report changes to relevant departments.
+ High School diploma or equivalent and 5 years of administrative experience, OR, bachelor's degree and 1 year of administrative experience required.
+ Experience in an academic or higher educational environment preferred.
+ Previous experience in student financial aid, student records or other student support services area preferred.
+ Customer service experience preferred.
+ Skills: Excellent communication skills, both verbal and written. Ability to work with people from a variety of socio-economic, educational, and cultural backgrounds. Strong interpersonal skills with student and staff populations. Superior organization, prioritization, and self-motivation skills. Strong computer skills with proficiency in MS Office Suite, especially Excel and Access.

Ability to listen to customers (e.g. staff, etc.) and to understand and respond positively to their requests. Ability to adapt to changing assignments and multiple priorities.
