The MN Council on Disability is looking for their next Executive Aid! This position provides executive administrative support primarily to the Operations Director, the Executive Director, and other staff. The position will provide office logistical support, facility management, and administrative operations for the Minnesota Council on Disability (MCD), ensuring alignment with agency goals and compliance requirements.
Specifically, the position will:
+ Manage overall office operations, logistics and accounting functions.
+ Plan, oversee and/or manage in person and virtual event and meeting scheduling and logistics (materials, ADA accommodations, hybrid meeting technology, and documentation) for agency managers, staff and guests.
+ Provide leadership, direction, and implementation guidance for MCD advisory work groups as assigned.
+ Direct and collaborate with key MCD leaders, staff and stakeholders in the development and dissemination of major MCD documents, plans and reports, and agency communication content.
+ Provide support to the agency leadership team related to the administration, delivery and continuous improvement of MCD operational and administrative systems and processes.
This position is eligible for a hybrid telework arrangement after 6 months of employment. With a telework arrangement, onsite attendance will be required for team meetings or as requested by management to meet business needs. Completion of a telework agreement will be required. Minimum Qualifications
+ Skills in the development of administrative and program policies, procedures, and service standards in cooperation with management.
+ Customer service skills sufficient to multi-task, organize, prioritize work, meet demands of workload with interruptions, and to learn and adapt quickly to changing needs, priorities, requirements, and deadlines.
+ Skills in business grammar, spelling, and punctuation to write, develop and edit reports, letters, procedures, presentations, and other documents.
+ Skills in accounting sufficient to reconcile differences between invoices, receipts and purchase orders, and assess needs based on data and events affecting the account.
+ Skills in effectively gathering and presenting information in one-on-one and group interaction, to customers, clients, and other employees.
+ Knowledge of scheduling and confirming customers’ appointments in person, on the phone, and through email and other written or electronic correspondence.
+ Knowledge of databases sufficient to use non-standard or advanced software features as research tools and generate a variety of reports.
Preferred Qualifications
+ Two or more years of administrative support in an office setting.
+ Certified Administrative Professional (CAP) or other similar certification.
+ Experience working in state government or public sector environments, with an understanding of applicable regulatory and operational standards.
+ Experience in developing, coordinating, producing, and editing internal and external written organizational materials.
+ Experience in applying project management techniques, principles, and practices to plan and prioritize work, set goals, manage deadlines, and allocate time and lead and coordinate activities of others.
+ Knowledge or experience in the social or affirmative model of disability, and a professional commitment to end legal, cultural, and societal ableism.
