Job Description
The New York County District Attorney's Office (DANY) has an immediate opening for an Assistant Division Secretary in its Special Victims Division. The Special Victims Division oversees four bureaus/units that specialize in handling cases involving special victims: the Intimate Partner and Sexual Violence Bureau, Child Abuse Bureau, Elder Abuse Unit, and Human Trafficking Unit. The mission of the division is to bring order and stability to victims' lives while ensuring that their voices are heard in the criminal justice system. In this position, the Assistant Division Secretary is responsible for providing highly skilled secretarial and administrative support to Assistant District Attorneys and Professional Staff.
Responsibilities include but are not limited to:
- Performs receptionist duties, secretarial tasks, and clerical assignments.
- Works with division supervisors to ensure efficient management of division operations.
- Answers division telephones, takes, and delivers accurate messages promptly, and responds to appropriate inquiries.
- Maintain and update the division's database system.
- Greets witnesses and visitors and notifies appropriate staff of their arrival.
- Prepares legal documents and correspondence for the division.
- Provides support and assistance to division secretary as needed.
- Performs related duties as assigned.
In addition to the Minimum Qualification Requirements, candidates must possess the following:
- Bachelor’s degree from an accredited college; or
- High school degree required three years of experience in community work or community centered activities.
Preferred Requirements/Skills:
- College degree.
- Prior secretarial experience.
- Bilingual Spanish.
- Public Notary.
- Knowledge of the criminal justice system.
- Excellent interpersonal, organizational, and communication skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Ability to learn in-house proprietary applications.
- Ability to follow directions, work independently, and manage assignments.
- Ability to work with frequent interruptions and adapt to changes in workflow.
- Strong attention to detail and follow-up.
- Dependable team player who works collaboratively and cooperatively with Office staff.
- Able to maintain a positive attitude to set the tone for a professional office environment.
- Ability to interact with all levels of staff and witnesses.

Additional Information:
- Current office employees: To be eligible for a transfer or promotion, staff must have already served at least one (1) year in their current position and be in good standing. In addition, must meet the minimum qualifications of the position.
- Looking for candidates that could commit to one (1) year to the hiring unit.
- Authorization to work in the United States is required for this position.

1. High school graduation or equivalent and three years of experience in community work or community centered activities in an area related to duties described above; or
2. Education and/or experience which is equivalent to "1" above.
