Accounts Payable Specialist
Department: Finance Reports to: Controller
Job Summary:
This position will perform duties associated with the accounting function of the company with a focus on Accounts Payable and Credit Card Expenditures.
Primary Responsibilities:
• Verify invoice details against purchase orders and shipping documents.
• Identify and address any discrepancies or errors on matching process prior to posting into ERP system (AccountingSeed) for payment.
• Reconcile accounts payable balance with vendor statements monthly.
• Verify invoice details and enter all corporate billing invoices into ERP system.
• Review all freight bills: File disputes as needed, complete customer billbacks , track to resolution.
• Prepare bi-weekly electronic check run
• Create new vendor payment templates in bank for approval.
• Enter vendor payments to be processed via ACH and wire for approval.
• Process approved vendor payments via credit card.
• Maintain accurate and organized financial records, vendor files, and payment documentation
• Review monthly general ledger transactions within SG& A accounts for accuracy and recurring automated transactions when utilized.
• Reconcile monthly credit card statement.
• Maintain vendor information in ERP system.
• Assist in the month end close process.
• Prepare/issue 1099’s as part of year-end process.
• Backup for the Accounts Receivable function
• Create process improvements that streamline/automate accounts payable tasks and reporting
• Perform ad hoc requests necessary to support the Company
Requirements
Skills/Experience Required:
• 1-3 years’ experience in an accounting role
• Attention to detail and accuracy is necessary
• Highly motivated and team oriented
• Great communication skills, both written and verbally in person and on the phone.
• Proficient in Word and Excel – prior experience with pivot tables and analytical formulas desired
• Multi-tasking – can easily change from one task to another, and a willingness to perform whichever task needs to be accomplished
Education Required:
• Associates’ degree in Accounting/Business
• Bachelor’s degree in Accounting/Business preferred
