    Description

    Duties may include, but are not limited to, the following:

    + Perform complex, technical, and specialized office support tasks requiring independent judgment, technical proficiency, and detailed knowledge of departmental procedures.

    + Research, compile, and organize information from various sources to complete forms, prepare reports, and perform arithmetic or statistical calculations.

    + Provide information and assistance to the public, applying sound judgment and interpreting departmental policies, rules, and procedures.

    + Organize, maintain, and purge departmental files and records in accordance with retention policies.

    + Prepare correspondence, reports, forms, and other specialized documents from drafts, notes, or brief instructions using computer software applications.

    + Proofread and review documents for accuracy, completeness, and compliance with departmental standards and regulations.

    + Enter, retrieve, and verify data; generate reports using online systems or personal computers; review and correct data as necessary.

    + Operate standard office equipment and ensure proper maintenance.

    + Coordinate and perform a variety of administrative support activities, including preparing purchase requisitions, scheduling repairs, transmitting information, and maintaining up-to-date reference materials.

    + Arrange meetings and events, including scheduling participants, reserving rooms, and coordinating travel, lodging, or meal accommodations.

    + Serve as a receptionist—greeting visitors, answering and screening telephone calls, and directing inquiries to the appropriate staff or personally resolving them.

    + Train and guide other staff in work procedures or provide project-based or relief supervision as assigned.

    Requirements

    Knowledge of:

    + Office administrative practices and procedures, including filing systems and standard office equipment operations.

    + Basic business data processing principles and computer system usage.

    + Departmental policies, procedures, and functions related to the assigned team.

    + Proper formatting and composition of professional correspondence and typed materials.

    + Business arithmetic, including percentages and decimals.

    + Correct English usage, grammar, spelling, and punctuation.

    + Recordkeeping principles and procedures.

    Skill and Ability to:

    + Perform a variety of technical, specialized, and complex office support duties.

    + Organize, prioritize, and coordinate multiple work activities effectively.

    + Interpret and apply rules, policies, and procedures accurately.

    + Research, compile, and maintain organized office files and records.

    + Establish and maintain cooperative and effective working relationships with others.

    + Compose clear, accurate, and professional correspondence from brief instructions.

    + Perform arithmetic calculations with speed and accuracy.

    + Exercise initiative and sound independent judgment within established guidelines.

    + Operate standard office equipment, including personal computers with multiple applications and centralized phone systems.
