Job Description
The Office management position requires a high level of administrative skill, quality, productivity, and leadership. The individual holding this position is responsible for operation of the administrative services of Empower Physical Therapy per location. You will be accountable for organization, effectiveness, communication, and providing general clerical support to our office coordinators and technicians. You will assist in training staff on clinical/admin standards while maintaining a ‘Team’ culture.
Key Responsibilities:
+ Perform front office coordinator responsibilities.
+ Oversees support staff in completion of scheduling and high-quality customer service.
+ Provides a work environment that fosters professional development and growth, teamwork, productivity, and a wow experience.
+ Handles customer service issues of the clinic and reports issues and disposition to DOA as appropriate.
+ Compiles and interprets key performance indicators. Tracks and monitors team KPI’s that fall below expectations.
+ Meets with support staff to discuss action plans when KPI expectations are not met.
+ Assists in coordinating and planning admin training with the DOA for his/her peers in the company, as well as coordinating future in-services with others teaching.
+ Available to participate in training to improve business skills such as communication, administration, leadership, sales and finance.
+ Manages the schedule of the staff of the clinic with the CD and the DOA.
+ Motivates, leads, encourages, and sets the example to have the admin team attain the productivity targets and expectations.
+ Ensures clinic and staff adherence to corporate HIPAA compliance and OSHA regulations (coordinate with Administrator Assistant).
+ Manages the operations of the support team in accordance with company policies and procedures.
+ Participates in regular meetings with other management (COO, DOA, Marketing Assistant, etc)
+ Coordinates and recommend staffing needs for location with CD and DOA.
+ Supports interview process for staff FOC, and Techs being considered for hire.
+ Coordinates with Billing specialist, Benefits specialist regarding any patient care with payments, balances and insurance questions.
+ Assists in cultivating the team culture and coordinating with Marketing Assistant for community involvement.
+ Supports monthly, quarterly, and annual planning.
+ Makes recommendations on hiring and disciplinary matters.
+ Supports in managing location budget for items including inventory and additional supplies required to ensure the clinic operates efficiently and effectively.
Qualifications
+ Proven experience in a managerial or supervisory role within a healthcare or clinic setting.
+ Strong leadership skills with a focus on staff development, motivation, and performance improvement.
+ Excellent communication skills, both verbal and written.
+ Ability to manage multiple tasks and priorities in a fast-paced environment.
+ Strong understanding of clinic operations, HIPAA compliance, and OSHA regulations.
+ Experience with tracking and analyzing key performance indicators (KPIs) and managing performance.
+ Proficiency in scheduling software, Microsoft Office Suite, and other relevant administrative tools.
+ Ability to foster a positive, collaborative work environment.
+ Experience in coordinating training programs and team development initiatives.
+ Knowledge of billing, insurance, and financial processes in a healthcare setting is a plus.

Additional Information
**Schedule:** Monday - Friday, 40 hours a week. Approx
+ The scheduled hours are still being determined. And may fluctuate based on employee outages and coverage.
+ There are several times a year when this position may be needed after hours (i.e. events, open-house, Christmas party, BBQ’s, etc)
