Position Summary:
The Administrative Specialist III is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and institution policy.
Duties & Responsibilities:
+ Greet students, faculty, staff, and visitors at the front desk
+ Answer the incoming phone calls and direct them to the appropriate person
+ Manages the OIP email account
+ Develop, maintain, and monitor departmental budgets within A-State International Programs (International recruitment, study abroad, esl, student services)
+ Process and pay invoices
+ Process requisitions, EPAF’s and other budgetary processes
+ Assist with business process review, identifying opportunities to maximize efficiencies of budgetary flow within A-State international unit
+ Handle all travel requests through the Concur platform
+ Coordinate and process adjunct hires through Taleo, and support onboarding process
+ Coordinate inventory purchases (including office supplies, computers etc.) within department, handle shipment to remote staff/adjuncts as necessary. Maintain internal inventory repository to ensure compliance with internal audit
+ Process new position postings in Taleo, and handle termination workflows
+ Oversees and monitors the front desk check-in software
+ Coordinates room reservations for the International Programs building and assists the Director in making room reservations for other places on campus
+ Receives and sorts incoming mail and deliveries
+ Manage office supplies and purchase when necessary
+ Organizes and schedules meetings and appointments for the Director
+ Be a resource to all A-state entities
+ Other duties as assigned
Knowledge/Skills/Abilities:
Knowledge of record keeping procedures.
Knowledge of the principles and practices of mathematics and statistics.
Knowledge of work-related subject area
Knowledge of computers and software applications
Ability to conduct research and compile data into report form
Ability to establish and maintain filing systems
Ability to operate standard office equipment
Ability to analyze documents to determine compliance with rules, regulations, and procedures
Ability to communicate both orally and in writing
General Days/Hours:
Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed

Minimum Qualifications:
The formal education equivalent of a High School Diploma
One (1) years of experience in a specialized or related area applicable to work performed
Other job related education and/or experience may be substituted for all or parts of these basic requirements upon approval of the qualifications review committee
