Howden’s core focus is on providing quality solutions for air and gas handling, and have over a century of experience in doing so. We are currently seeking a Document Administrator.
The position reports to the aftermarket Engineering Manager and is responsible of processing documents requests coming into the document retention area (both electronically and in the document vault) from customers (both internal and external) and will provide support to the engineering team in entering Items and Bill of Materials (BOMs) in the ERP system.
_What Will You Do?_
+ Receive and efficiently process all inquiries via phone, e-mails, web queries, and written correspondence within a defined period of time from receipt.
+ Responsible for all technical record keeping and retrieval, including drawings, order copies, repair history, engineering contract revisions, service reports and site visited for all products supported, in order to meet customer needs for replacement parts.
+ Manage user access, training and support of existing digital records systems.
+ Report on actual performance in document retention via established performance metrics.
+ Plan the workload and oversee the scanning team.
+ Responsible of organizing and maintaining the physical records storage areas.
+ Engage in continuous improvement for processes included in and adjacent to job role. Recognize and resolve customer satisfaction issues (both internal and external).
_Your Experience Should Be..._
+ High School diploma, equivalent, or an Assoc. Degree in business, engineering or related field.
+ 3 years of relevant business background in sales, engineering or customer service office.
+ Knowledge of cloud platform document storage structures & metadata best practice.
+ Knowledgeable with Nitro or Adobe.
+ Proficient in Microsoft Office Products – Word, Excel, PowerPoint, Outlook, etc. Comfortable navigating the internet.
+ Ability to create and maintain strong relationships with internal and external customers.
+ High moral and ethical standards; integrity is continuously apparent.
+ Strong interpersonal skills – active listener, clear and concise communicator (both oral and written); good collaboration skills.
+ Ability to work in a fast paced environment.
+ Ability to work on multiple projects with conflicting time constraints.
+ Ability to multi-task and prioritize projects in a manner which best satisfies HUSA’s overall needs.
+ Motivated, self-starter, with the ability to perform duties with minimal supervision and achieve goals.
Desirable Skills and Experience:
+ Bachelor’s Degree in a technical or business area or equivalent experience.
+ Experience using with Microsoft SharePoint or similar online document management systems
+ Experience working with ERP systems in regards to various line function requirements.
+ Ability to interpret and understand engineering drawings and bills of materials.
+ Experience in a manufacturing facility in regards to engineering drawings, bills of material, routings, item data, quality requirements, sales requirements, and special inspections.
+ Previous experience in an original equipment and/or aftermarket manufacturing facility.
+ Previous experience on collaborating with Sales & Applications, Purchasing, Industrial Engineering, Inventory Control, Logistics and Quality line functions.

The salary range starts at $41,900 for this position.
