    AIP is looking for a Personnel Assistant III to work in Batavia, NY. The Personnel Assistant III (PA) is a part-time position, and takes direction from the Administrative Assistant (AA). The PA provides various administrative functions in support of the program staff. The PA III is expected to always exercise discretion because they will have access to sensitive employee and company data. The position independently processes various transactions and performs tasks beyond routine clerical such as scheduling for drug screening, TB testing, and annual physicals. The PA is responsible for data entry of daily labor exceptions into the TrueTime system and providing time and attendance reports. The position requires extensive knowledge of various software packages, including the Microsoft Office suite. The position works an average of 4 hours per day, 5 days per week (20 hours or less per week average). The schedule is flexible except for days when labor entries are due for payroll.

    Responsibilities

    The duties of the Personnel Assistant III shall include but are not limited to the following:

    + Performs daily data entry for True Time exceptions for all CBA and non-exempt staff; verifies the payroll reports and ensures reconciled prior to payroll processing.

    + Performs data entry to ScheduleAnywhere for schedule exceptions; and reconciles all entries prior to transmitting to True Time.

    + Provides assistance to the AA with scheduling TB tests for all staff.

    + Schedules new hire candidates for interviews.

    + Assists with new-hire on boarding tasks, such as I-9s and uniform ordering.

    + Responsible for the facility badging system. Takes pictures, prints badges, and keeps a record of all facility staff and their badge numbers.

    + Schedules annual physicals for officers and Lieutenants.

    + Supports the AA with weekly billing data.

    + Performs other general office tasks as needed.

    Qualifications

    + The Personnel Assistant shall have 2+ years’ experience in office administrative taskings, data entry, payroll and personnel transactions. An associate’s degree in business administration or related field is desired.

    + Ability to prepare management, business, technical, and personnel reports for internal and external use.

    + Extensive knowledge of software systems including the Microsoft Office Suite.

    + Ability to perform continuous/repetitive tasks in an office setting.

    + Ability to interact with all levels of the organization for scheduling and providing other assistance.

    + Appropriate level security clearance issued by the ICE PSD.

    + Must have a social security card issued and approved by the Social Security Administration and shall be a United States citizen.

    + Must not be currently employed by any federal agency, including active-duty military, whereas their employment under this contract could present an actual or apparent conflict of interest.

    + Must be a minimum of twenty-of (21) years of age.

    + Must be capable of understanding and applying written and verbal orders, rules, and regulations in English.
