Located in Bethpage, St. Joseph Hospital that provides comprehensive inpatient and outpatient medical, critical care and surgical services. Its Emergency Department cares for approximately 33,000 patients a year. Other vital services include an Ambulatory Surgery Unit, The Center for Sleep Medicine, Hyperbaric and Wound Healing Center, CHS Cancer Center, The Center for Speech and Swallowing Disorders, Diabetes Education Center and a full scope of outpatient radiology services, including Cardiac CT.
Job Details
Under the direction of the Director of Nursing, the timekeeper is responsible for evaluating and reconciling daily departmental staffing with particular attention to overtime, call time, benefit time and work shifts in order to process payroll. The incumbent will act as liaison to Nurse Managers, Assistant Nurse Managers, Nursing Directors, HR, IT and Payroll.
Responsibilities:
+ Accurately review, verify, and process timecards for the nursing department in compliance with hospital policies and union agreements
+ Monitor and track timekeeping exceptions, attendance, overtime, and leave requests; communicate discrepancies to leadership for guidance towards resolution
+ Maintain records related to payroll adjustments, schedule changes, and approved leaves of absence
+ Accurately enter all applicable pay codes and work rules including but not limited to floating, charge pay, preceptor pay, benefit time, etc.
+ Monitor and reconcile discrepancies in pay codes and communicate with staff and leadership to reconcile timely
+ Serve as the primary point of contact for timekeeping inquiries from staff and leadership
+ Assists in preparing and maintaining daily and weekly staffing schedules for nursing units
+ Coordinate staffing assignments and track coverage for call-outs, leaves, and schedule changes
+ Support the staffing office in identifying and securing coverage for open shifts, utilizing established float pools, per diem staff, or agency resources as needed
+ Update and maintain electronic scheduling systems, ensuring accuracy and timely communication of changes
+ Generate reports and data summaries related to staffing levels, attendance, and scheduling trends
+ Provide general clerical support including data entry, filing, scanning, and communication with staff and nursing units and leadership
+ Maintain confidentiality of employee and departmental information at all times
+ Assist in special projects, audits, and process improvements related to staffing and timekeeping
+ Support coordination of onboarding and training for new, temporary, and existing staff
+ Maintain documentation and approval records for pay adjustments and special pay situations
+ Validate accuracy of call schedules and call worked
+ Submit timecard approvals timely, ensuring submission prior to payroll deadlines
+ Serve as a content expert for pay policies and communicate changes, updates, and other pertinent information to the leadership team
+ Demonstrate flexibility in changing situations and work effectively under stress
+ Adheres to St. Joseph Hospital Policies and Procedures
+ Performs other duties as deemed necessary by supervisory personnel
Qualifications:
+ Minimum of High school Diploma or Equivalency
+ Strong organizational skills with exceptional attention to detail and accuracy
+ Demonstrated ability to manage multiple priorities and meet deadlines in a fast-paced setting
+ Competence in Microsoft Office Suite, particularly Excel and Outlook
+ Excellent communication and interpersonal skills to work effectively with nursing staff, leadership, and other departments
+ Strong problem solving and critical thinking skills with a proactive approach to resolving discrepancies
+ Proficiency with timekeeping and scheduling software, preferred
+ Familiarity with union contracts or hospital staffing policies, preferred
Salary Range
USD $22.00 - USD $29.00 /Hr.
