    Job Title: Department Assistant

    Job Description

    The Department Assistant will provide essential administrative support to department management, ensuring the smooth operation of daily department functions. This role involves collaborating to present and disseminate department information, aligning with business line goals and objectives.

    Responsibilities

    + Facilitate the dissemination of information to the department and project teams as part of the overall communications and department management process.

    + Resolve departmental queries by researching and providing appropriate answers.

    + Prepare and present meeting notes, presentations, and tables using Excel, PowerPoint, Access, and other programs.

    + Develop procedures to meet departmental and business line requirements and assist in business initiatives.

    + Monitor department deadlines and benchmarks, supporting the presentation of monthly progress reports, including tracking action items and progress updates.

    + Plan, coordinate, and facilitate on-site and off-site meetings, including department orientation, training, stakeholder meetings, management meetings, and periodic reviews.

    + Coordinate required training programs and records for department personnel in conjunction with corporate training and project requirements.

    + Assemble and analyze information involving business plans and financial reports for the final business plan submission.

    + Monitor, review, and approve standard expenditures to ensure activities are conducted within established budgets.

    + Prepare communications including emails, meeting agendas, and meeting minutes.

    + Handle sensitive and confidential information responsibly.

    + Coordinate department-related issues and complaints, following up to ensure resolution.

    + Perform additional duties as assigned.

    + Comply with all policies and standards.

    Essential Skills

    + High School Diploma/GED with a minimum of 3 years of relevant experience, or Associates degree with a minimum of 2 years of relevant experience, or Bachelors degree with a minimum of 1 year of relevant experience.

    + Experience in event planning.

    + Advanced knowledge in Microsoft Word, Excel, Access, and PowerPoint.

    + Ability to work independently with accuracy, reliability, and problem-solving skills.

    + Excellent organizational skills, attention to detail, and verbal and written communication skills.

    + Ability to handle multiple tasks and communicate professionally with all organizational levels and external parties.

     

    Additional Skills & Qualifications

     

    + Experience in administrative support, data entry, customer service, clerical work, office support, and administrative assistance.

    + Proficiency in Adobe software is desirable.

    + Minimum of 2 years of office/clerical experience.

    + Excellent multitasking ability and great communication skills.

    This is a Contract to Hire position based out of Kansas City, MO.

    Pay and Benefits

    The pay range for this position is $21.00 - $21.00/hr.
