Position Summary
The incumbent serves as executive assistant to the Provost and Sr. Vice President for Academic Affairs (Provost and SVP ), managing the administrative needs of the Provost and SVP to ensure that their time is effectively allocated and they have the information and materials needed to advance the priorities of the office; and as project administrator for the Division of Academic Affairs. The Operations Manager manages the work load of the office and provides a comprehensive range of support services to ensure the prioritization and execution of projects and initiatives. This position interacts with students, parents, University officers, trustees, faculty, staff, and the general public and requires independent judgment, excellent time management and communication skills, discretion, and a high degree of confidentiality. This position has supervisory responsibility for the work-study students.

Major Responsibilities
+ Supports the Division of Academic Affairs in the prioritization, dissemination, and execution of projects and initiatives assigned out of regular departmental meetings, periodic retreats, and/or committees; this includes working closely with Provost and SVP , Sr Associate Provost, and Deans to ensure that all projects assigned to their direct reports are completed on or before deadlines assigned. The Operations Manager keeps the Provost and SVP , Sr. Associate Provost, and Deans up to date on the status of all assigned projects to ensure the Division of Academic Affairs’ agenda is effectively moving forward according to plan objectives, milestones, and/or measurements.
+ The incumbent is responsible for the day-to-day functioning of the Provost’s Office including the flow of personnel action items and various documents and contracts requiring the Provost and SVP’s approval; producing various letters to faculty, including annual administrative appointments, awarding of reappointment, tenure, promotion, post-tenure review, emeritus, etc.; serves as an event planner for numerous academic events (Provost Cabinet retreats, Full Professor and Distinguished Guests Luncheon, New Faculty Reception, Honors Program Dinner, UU Family Dinner, etc.); oversees the bi-annual processing of academic honors as well as student probations and dismissals at the end of each semester and during the semester as needed; manages yearly updates to numerous documents including catalog, handbooks, tenure and promotion procedures, etc.
+ Responsible for managing the Provost and SVP’s calendar; coordinating travel and event arrangements; scheduling meetings; producing agenda, taking minutes, organizing and developing support materials for Board of Trustees Educational Committees, Provost’s Cabinet, Faculty Affairs Committee, Professional Development Committee, and other meetings; assists the Provost and SVP with planning and budget management; produces and edits correspondence and/or reports requiring interpretation of policies and procedures; serves as liaison between Provost’s Office and University administrative offices, school offices, faculty, staff, students and outside constituents on a variety of issues.
+ Responsible for the hiring, training, and daily supervision of student employees in the Office of Academic Affairs.
+ Participates and engagse in Diversity, Equity, and Inclusion ( DEI ) initiatives and programs, including but not limited to serving on DEI committees, serving as a diversity advocate or community liaison for job searches, advising a club, facilitating DEI -related training, and engagement in institutional cultural and celebratory events and programming.
+ Takes an active role in the development of the division’s strategic and operational plans as required by relevant constituents. Works closely with the Provost’s Cabinet to develop and implement operational goals that support divisional success.

Education & Experience Qualifications
+ Bachelor’s degree preferred.
+ Five to ten years of administrative experience is required, preferably in higher or secondary education or an executive setting.
Minimum Skills/Abilities
Must be detail-oriented with a high level of attention to accuracy and completeness. Excellent organizational and computer skills including Microsoft Office (Word, Excel, PowerPoint,) required, Banner Web experience preferred. The ability to take minutes in meetings is required. Pleasant and effective personal relations skills for phone and personal communication with college, university, and outside community are essential.
