    Program Administrator – Weill Cancer Hub (Hybrid)

     

    Stanford University is seeking a Program Administrator to support the Weill Cancer Hub West, a high-profile $200 million cancer research partnership between Stanford University, UCSF, and the Weill Family Foundation, intended to transform cancer care within a decade.

     

    This position will provide administrative support to research project teams, manage administrative and financial analysis and reporting to Weill Cancer Hub West leadership, plan and execute high-profile convenings, and develop and implement Hub communication plans. This is a highly collaborative position, necessitating close coordination with many stakeholders at both Stanford and UCSF including but not limited to executive leadership, finance, development, communications, and research project teams. The Program Administrator will be expected to quickly build and maintain close working relationships within and across institutions.

     

    The Program Administrator will be part of the Stanford Cancer Institute (SCI). The SCI earned its most recent comprehensive cancer center designation by the NCI in 2022, and is a prominent, growing and complex Institute within Stanford Medicine. Cancer clinical research is integrated throughout Stanford Medicine which is comprised of Stanford School of Medicine and our adult and pediatric health systems – Stanford Health Care and Stanford Children’s Health. The SCI actively works to build synergies and collaborations across Stanford Medicine.     NOTE: While two such positions are being hired—one primarily based at Stanford and one primarily at UCSF—each will support project teams and activities spanning both universities, including organizing and attending meetings and other events at both campuses.     Duties include*:

    + Lead the planning and operations for programs or functions that have significant business, regulatory and/or technical challenges requiring subject matter expertise.

    + Evaluate programs or functions, policies and procedures. Identify issues, and develop alternative solutions which may include changes to programs, policies and procedures.

    + Review and analyze trends to advise and develop recommendations to achieve or modify the goals of the program or function.

    + Represent the program or function within the department, unit or school. Commit resources and provide information and/or training. Represent the program or function at the university level and/or to external/internal stakeholders and constituencies.

    + Manage and contribute to the development of outreach strategy that may include relationship development, communications and compliance.

    + May develop and/or oversee budgets; manage finances including monitoring, analyzing, forecasting, and reporting.

    + Assess training needs and may develop associated training.

    + May direct and/or supervise staff.

    DESIRED QUALIFICATIONS:

    + Advanced degree (master’s or doctoral) in biomedical sciences, public health, or a related field.

    + Demonstrated experience in academic or biomedical research administration, including progress reporting and compliance with institutional or funding requirements.

    + Demonstrated experience monitoring budgets and preparing financial reports for research projects or grants.

    + Demonstrated experience planning and organizing meetings, workshops, or multi-institutional symposia.

    + Demonstrated experience developing content for websites, newsletters, or other program communications.

    + Familiarity with institutional administrative and financial systems, or comparable experience in a large academic or medical research institution.

    + Demonstrated experience working with philanthropic donors, private foundations, and fundraising teams.

    + Demonstrated experience working with top-tier executives and/or high-net-worth individuals.

    EDUCATION & EXPERIENCE (REQUIRED):

    Bachelor's degree and five years of relevant experience, or combination of education and relevant experience.

    KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

    + Demonstrated ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines.

    + Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness.

    + Demonstrated creativity, problem solving, critical analysis, initiative, judgment and, decision-making skills.

    + Demonstrated ability to develop and meet budget goals.

    + Demonstrated solid planning and organizational skills.

    + Demonstrated experience working independently and as part of a team.

    + Excellent interpersonal, written and oral communication skills.

    + Strong relevant subject matter knowledge.

    + Ability to direct the work of others, for jobs requiring supervision.

    PHYSICAL REQUIREMENTS*:

    + Constantly perform desk-based computer tasks.

    + Frequently stand/walk, sitting, grasp lightly/fine manipulation.

    + Occasionally use a telephone.

    + Rarely lift/carry/push/pull objects that weigh 11-20 pounds.

    WORKING CONDITIONS:

    + Occasional travel within and beyond the Bay Area.

    _The expected pay range for this position is $120,038 to $153,486 per annum._
