Job Summary:
The Assistant to the Deans reports to the Executive Dean of the School of Pharmacy & Health Sciences and provides advanced and diversified administrative support to the Executive Dean and the members of the Executive Leadership Team including the Executive Associate Dean, Assistant Dean for Faculty, Assistant Dean for Experiential Education, and Assistant Dean for Student Affairs and Community Engagement. Responsibilities are directly related to administering management and business operations of The School and include: overseeing daily operations of the office; maintaining and monitoring the School budget and fiscal records; providing support for accreditation efforts and recruitment of faculty and students; interaction with faculty, students, university administrators, parents, and external constituents on behalf of the Dean and Executive Leadership Team; interpretation and communication of School and University policies, procedures and practices; researching problems referred to the Dean’s office and recommending resolutions; and coordinating and guaranteeing the accuracy and confidentiality of all faculty personnel and School files. The incumbent is expected to work independently without direct supervision, and collaboratively, on day-to-day tasks and special short- and long-term projects and assume a leadership role in carrying out such projects.
Required Qualifications:
1. Bachelor’s degree or equivalent related work experience.
2. A minimum of 4 years successful administrative experience in office and budget management, preferably in an academic environment. Ability to perform analysis of financial and budgetary data.
3. Excellent oral and written communication and interpersonal skills with the ability to work effectively with School leadership and faculty.
4. Excellent organizational skills, problem solving ability, and ability to handle multiple priorities.
5. Proficiency with computerized systems for data management, spreadsheets, word processing and other applications. Knowledge of Microsoft Office Suite (Word, Excel, PowerPoint), and internet search engines and resources. Familiarity with social software such as Facebook and Twitter to monitor for questions. Familiarity with Datatel a plus.
6. Ability to work independently and as an effective team member.
7. Ability to manage sensitive information with decorum and confidentiality.
8. Employment is contingent upon a satisfactory background check. Candidates for hire will be required to sign a waiver authorizing the background check and produce a Social Security Card.
