The Idaho Department of Water Resources (IDWR) has an exciting opportunity for a professional who wants to impact Idaho water issues.
IDWR is filling a vacancy for a Technical Records Specialist 1 in our Water Administration Bureau, located in our downtown office in Boise. The person in this position will perform clerical, administrative, and records support tasks for the Water Administration Bureau. Primarily this candidate will maintain and manage files and records in multiple programs, compose, proofread, and edit various business correspondence, and coordinate mailing efforts.
This position will support a new bureau at IDWR, so the successful candidate will have opportunities to impact developing programs and gain experience with established department processes. Water Administration activities involve a little of almost everything the department does, so the successful candidate in this position will benefit from working with a variety of department programs and staff and can develop experience and knowledge of the breadth of IDWR’s programs.
Example of Duties
+ Coordinate large-scale mailings: review and edit large mailing lists for duplicate or incomplete addresses, mail merge addresses from MS Excel to MS Word, proofread & print merged letters, use a letter inserter machine to prepare mailings
+ Scan, save, & file current documents; maintain and arrange for storage of historical files and documents; respond to information requests and research digital, paper, and microfiche records; and communicate with regional offices to implement records standards
+ Answer customer questions via phone and email related to Water Administration Bureau programs
+ Proofread, edit, and compose correspondence and other written materials, ensuring all correspondence meets current grammar and style guidelines
+ Occasionally assist with main front desk coverage as needed by answering phones & assisting walk-in customers
+ Perform general office and clerical support services for bureau staff, accept and receipt payments, and maintain office equipment
Minimum Qualifications
+ Experience monitoring a records system to identify and correct errors
+ Experience researching a variety of sources to resolve problems
+ Experience interpreting, explaining, and applying rules, regulations, laws, or complex policies to carry out assignments
+ Experience entering and retrieving data using a computerized records system
Desired Qualifications
• Experience or education in technical, business, or legal writing
• Ability to manage and organize multiple priorities
• Familiarity with USPS address formatting and mailing standards
