Overview
We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to provide comprehensive support to our CEO and ensure smooth day-to-day operations across the company. This individual will play a critical role in managing travel logistics, office operations, reimbursements, scheduling, and company events, while also assisting with various ad-hoc projects. The ideal candidate thrives in a dynamic environment, acts with a strong sense of urgency, and consistently demonstrates exceptional resourcefulness and professionalism.
Key ResponsibilitiesExecutive Support
+ Manage and maintain the CEO’s complex and dynamic calendar, prioritizing meetings and ensuring optimal time management.
+ Anticipate needs and proactively resolve scheduling conflicts or logistical issues.
+ Coordinate communications and act as a liaison between the CEO and internal/external stakeholders.
+ Support preparation for meetings, presentations, and follow-up actions.
Travel & Expense Management
+ Plan and coordinate detailed domestic and international travel itineraries, including flights, accommodations, transportation, and meeting logistics.
+ Manage reimbursement processes and credit card reconciliations with accuracy and timeliness.
Office & Operations Management
+ Oversee day-to-day office operations to maintain an efficient and positive workplace environment.
+ Manage vendor relationships, office supplies, and equipment maintenance.
+ Support onboarding logistics and workspace setup for new employees.
Event Coordination & Special Projects
+ Plan and execute company-wide events, retreats, offsites, and team celebrations.
+ Assist with internal initiatives and small ad-hoc projects as assigned by leadership.
+ Partner cross-functionally to ensure successful execution of key organizational priorities.
Requirements

Qualifications
+ 3+ years of experience as an Executive Assistant, ideally supporting C-level executives.
+ Proven experience with calendar management, travel logistics, and event planning.
+ Strong proficiency in Google Workspace (Docs, Sheets, Calendar), Slack, and project management tools.
+ Bachelor’s degree preferred or equivalent professional experience.

A reasonable estimate of OTE for this position is between $65k - $80k USD. This compensation range is specific to the United States and it incorporates many factors including but not limited to an applicant’s skills and prior relevant experience and training; licensures, degrees, and certifications; specific geographic location; internal equity; internal pay ranges; and market data/range parameters.
