Job Title: Contracts Administrator
Job Description
This position is responsible for providing clerical and administrative support to the Risk Management Department. The role involves effective communication with Project Management teams, remote job site locations, and other stakeholders, requiring excellent communication skills and a strong attention to detail to ensure proper efficiencies applicable to project-related tasks.
Responsibilities
+ Represent the company to the public, customers, subcontractors, and governmental agencies in a professional manner.
+ Provide administrative support to the Vice President and others in the Risk Management Department, and occasionally to other company executives.
+ Answer telephones, relay messages, coordinate mail, and oversee administrative operations as part of a team.
+ Facilitate assigned new job set-ups, including creating new contract files, checklists, and logging data on intranet spreadsheets, SharePoint, and other software as needed.
+ Process, update, and maintain tracking of subcontractor contract documents, subcontractor pay estimates, owner change orders, subcontract change orders, insurance certificates, lien waivers, and other compliance documents.
+ Administer clerical duties, including generating letters, transmittals, memos, templates, and other documents as necessary.
+ Maintain thorough knowledge of company and departmental procedures.
+ Provide administrative assistance with preparing bid forms, prequalification forms, and sending out documents using overnight mailing services.
+ Maintain secure, orderly, and organized records and files.
+ Ensure accuracy of information, periodically review, identify, and report inaccuracies to supervisor.
+ Conduct timely follow-ups on work activities to meet deadlines and respond to time-sensitive matters.
+ Maintain and comply with company policies on ethical standards and business practices, ensuring privacy when preparing confidential correspondence and reports.
+ Administer short-term projects and administrative tasks as assigned based on business needs.
+ Ensure regular, predictable, and reliable attendance and punctuality.
Essential Skills
+ Minimum two years of experience as a professional office administrative assistant or equivalent.
+ Advanced knowledge of Viewpoint Construction Software, Microsoft Office Suite (Excel, Outlook, PowerPoint, and Word), SharePoint, and Adobe Professional.
+ Excellent phone etiquette and communication skills.
+ Exceptional organizational and time management skills.
+ Ability to work with minimal supervision.
Additional Skills & Qualifications
+ A valid California Driver’s License.
+ Effective communication and collaboration competencies.
+ Ability to develop and maintain partnerships within and outside of the organization.
Work Environment
The work environment is an office setting from Monday to Friday, 8 AM to 5 PM. The dress code is business attire, and jeans are not permitted. The position requires onsite presence daily.
Job Type & Location
This is a Permanent position based out of Fresno, CA.
Pay and Benefits
The pay range for this position is $26.00 - $31.25/hr.
