The Office Manager oversees key administrative functions within Disability Services & Student Testing Center (DS/STC), ensuring seamless operations and consistency in procedures. This role manages front office operations, supervises the Administrative Assistant, coordinates complex calendars and meetings, tracks and analyzes data, and provides administrative support to DS/STC leadership.As a key contributor, the Office Manager delivers direct support to students, faculty, and staff while fostering collaboration across the department, division, and university. This role also promotes disability awareness, provides technical guidance, and advises on universal design principles to ensure equitable access for students with disabilities.Success in this position requires confidentiality, autonomy, adaptability, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment. A commitment to student support, problem-solving, and exceptional customer service is essential.

What Your Key Responsibilities Will Be
Office Operations and Process Management
+ Manage the daily front office reception of DS, ensuring smooth operations and a welcoming environment.
+ Supervise front desk operations and provide coverage if the Administrative Assistant is unavailable.
+ Diffuse tense or confrontational situations, utilizing active listening and conflict resolution strategies.
+ Regularly evaluate and update front office processes, materials, and policies to ensure consistency and improvement.
+ Serve as the department's primary purchasing agent and manage the inventory of office supplies.
+ Oversee the maintenance and updates the data management system.
+ Ensure compliance with the National Voter Registration Act within DS/STC operations.
+ Collaborate with campus partners to develop surveys and research to assess customer needs and satisfaction.
+ Provide cross-coverage support to the Student Testing Center as needed.
+ Refer students to appropriate campus and community resources.
Supervision and Leadership Support
+ Hire, train, and supervise a full-time Administrative Assistant.
+ Provide ongoing support, professional development, and performance evaluations for the Administrative Assistant.
+ Manage special projects delegated by the leadership team, ensuring scope, quality, and effective resource allocation.
+ Coordinate complex calendars for leadership, scheduling high-level meetings and ensuring all necessary materials are prepared.
Data Collection, Management, and Assessment
+ Track, analyze, and report key data points to support strategic planning and operational improvements.
+ Produce monthly and semester reports for the DS/STC Leadership Team.
+ Maintain accurate records on student caseloads, retention rates, and service utilization.
Other Duties as Assigned
+ Serve as a liaison with campus partners, including payroll, parking assignments, OIT requests, telecommunications, Buff OneCard access, room scheduling, and other administrative functions.
+ Represent Disability Services on campus-wide committees and working groups.
+ Assist with accommodation implementation processes during peak times.
What You Should Know
Regular business hours, 8am-5pm Monday through Friday. This position is required to be in-office without opportunity for remote work.
What We Can Offer
The starting salary for this position is $54,000.

What We Require
+ 4+ years of work experience in an administrative, operations, or customer service role.
+ A combination of related education (Bachelor's degree) and/or relevant experience in an occupation related to the work assigned, equal to 4 years.
What You Will Need
+ Strong verbal and written communication skills, including the ability to engage with a wide variety of student, faculty, and staff populations.
+ Exceptional customer service skills with a focus on creating an inclusive and supportive environment.
+ High level of organization, dependability, and ability to manage multiple priorities.
+ Proficiency in Microsoft Office and Google applications, including SharePoint, Excel, Word, and Outlook.
+ Knowledge of confidentiality standards and handling sensitive information in a higher education setting.
+ Experience with electronic medical records or accommodation data management systems.
+ Ability to train and supervise full-time staff, including professional development and performance management.
+ Strong problem-solving skills and ability to remain calm under pressure.
+ Ability to utilize de-escalation techniques to effectively manage and resolve elevated or complex situations.
