    The Contract Administrator, Project Support will drive forward all required deliverables in line with the EPC (Engineering, Procurement and Construction) contract, inclusive of PPA’s (Power Purchase Agreement), AIA Pay Application, Purchase Orders, Invoicing and Milestone Dates, EPC related document from initial organization through final turnover to O&M (Operations and Maintenance) Plan, manage, maintain, and report progress of the project tracker on a weekly basis. Work as a conduit for all EPC requests from finance, business development, Project Group, Procurement, AP, and Legal.

    Major Responsibilities:

    • Develop and manage checklists and trackers for contract milestones

    • Attend and participate in weekly Contractor project status meetings to represent CEV and elicit contractor engagement in our processes.

    • Track, manage and prioritize project-related issues in support of the project team.

    • Monitor and effectively respond to team needs and potential problems.

    • Collaborate with other departments to gather required documentation and deliverables, including specs, warranty assignments, drawings, testing reports, permits, photos, escrow return, etc.

    • Upload and maintain all deliverables in Procore, Box or any customer/client ftp sites.

    • Gather change order and other EPCA approvals, process signatures and payment applications, lien waivers, change order documentation, EPC contracts, subcontracts, and milestone certificates as required

    • Monitor and follow up on scheduling, budget, and other requests from other departments as relates to AIA and payment tracking (i.e. Development, O&M and Lega

    • Maintain up-to-date project status checklists through regular communication with the Project Manager, Contractor and Contract Supervisor

    • Ensure timely and complete delivery of contractual project deliverables• Support Project Managers and throughout the project life cycle by organizing the Closeout book in Procore and providing weekly internal and external updates as to document status

    • Facilitate the transfer of Care, Custody & Control of finalized projects to the O&M group

    • Manage and prioritize workload to meet various timelines.

    • Compare and calculate invoice requests and backup to ensure accurate disbursement of funds against the schedule of values.

    • Initiate final Closeout and Turnover meetings in conjunction with PM, Supervisor and Project Management; collaborate across departments to enhance operational efficiency from an administrative perspective.

    • Perform other job-related duties as assigned.

    Position Requirements:

    • High school degree required, Associates Degree preferred.

    • Prior work in an office environment for construction administration or project management; solar office background or combined equivalent of education and work experience

    • Strong organization and administrative support skills

    • Self-starter with ability to work independently and engage with outside Contractors to meet contract requirements

    • Ability to work effectively within a team environment

    • Working knowledge of computer-based software applications including but not limited to Microsoft Suite (Word, Access, PowerPoint, Excel, Outlook)

    • Excellent verbal and written communication skills with a proactive approach to resolving issues

    • Strong ability to prioritize, multitask, and meet deadlines in a fast paced setting

    • Highly motivated with a strong work ethic and attention to detail

    Compensation: Expected base pay range for this role will be $59,000- $75,200.

     

    Base pay is based on several factors including, experience, skills, and knowledge

     

    This role will be eligible to participate in an annual short term incentive program.
