    Position Description:

    Performs coordinative work in the business or administrative operation of a specific department or college. Responsibilities involve the coordination and supervision of the various functions and aspects of a department as well as the monitoring operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise staff or student assistants.

    Major/Essential Functions:

    Financial and Budgetary Support:

    + Manage accounts payable/receivable, purchase orders, invoices, internal vouchers, cost transfers, and monthly reconciliations.

    + Monitor budgets and financial reporting deadlines.

    + Prepare and present accurate financial reports to administrative leadership and maintain ongoing communication regarding budget status, reconciliations, and funding updates.

    Personnel and Hiring Administration:

    + Coordinate hiring and onboarding of student workers and graduate assistants, including I-9, eVerify, and ePAF processing.

    + Manage employment changes such as terminations, merit increases, and changes to funding source.

    + Ensure accurate routing and documentation of all personnel actions.

    Equestrian Center Operations and Program Support:

    + Provide administrative and financial support for Texas Tech Equestrian Center programs, including herd management, contracts, billing, and fundraising coordination.

    + Maintain team rosters and assist with event planning and bid/quote procurement.

    Fleet and Procurement Card Oversight:

    + Oversee vehicle fleet operations including maintenance, mileage tracking, insurance, and driver eligibility.

    + Reconcile procurement card transactions and ensure compliance with university policies and deadlines.

    Administrative Coordination and Communication:

    + Maintain accurate documentation and communication.

    + Support faculty, staff, and students with a service-oriented approach.

    + Uphold confidentiality, professionalism, and proactive collaboration with the Executive Director and program staff.

    Preferred Qualifications:

    + Bachelor’s degree in accounting, finance, business administration, or a related field.

    + Three or more years of experience in financial reporting, budgeting, or fiscal management.

    + Demonstrated proficiency in financial software systems (e.g., Banner, Cognos, or similar financial/accounting platforms).

    + Experience preparing and presenting financial reports to senior leadership, including budget reconciliations.

    + Proven ability to manage multiple funding sources and track expenditures across complex budgets.

    + Excellent written and verbal communication skills.

    + Advanced proficiency in Microsoft Excel, including pivot tables and formulas.

    + Experience supporting HR functions such as hiring, onboarding, payroll processing, or coordinating personnel actions.

    + Demonstrated ability to maintain confidentiality and accuracy in handling sensitive financial data.

    The Department of Animal and Food Sciences ( https://www.depts.ttu.edu/afs/ ) at Texas Tech University exists to address the challenges of a growing and changing world. We tackle these challenges by empowering students, advancing discoveries, and disseminating knowledge. The department is housed in a modern research and teaching facility and is supported by several off-campus units (Equestrian Center, Equine Therapeutic Riding Teaching and Research Center, Grantham Companion Animal Research Facility, and an Agricultural Field Laboratory with canine, sheep/goat, swine, beef cattle, Burnett Center, and feed mill units). There are approximately 30 faculty members in the department, many of whom are leading researchers in their respective fields. Areas of research excellence include meat science and muscle biology, food science and safety, animal nutrition, health and welfare, and companion animal science. The department continues to experience historic student enrollment and now consists of more than 1,450 undergraduate and graduate students.

     

    The Texas Tech Equestrian Center (TTEC) is a 100-acre teaching, research, and outreach facility that is home of the Texas Tech Equestrian Team, Horse Judging Team, Ranch Horse Team, Rodeo Team and Therapeutic Riding Teaching and Research Center. The facility offers an indoor arena with seating for approximately 650 people and 10 additional arenas. The Center maintains a horse herd of approximately 40 horses primarily used for teaching. The TTEC is located approximately 15 minutes from main campus and contains over 400 stalls on site for events, students, and outside boarders.
