Description
Overview
BookOps is the shared technical services collaboration between the Brooklyn Public Library and the New York Public Library. BookOps coordinates the selection, acquisition, cataloging, processing and distribution of library materials for the BookOps member libraries. Acquisitions is responsible for order verification, invoicing, and payment for the Research and Circulating collections of the New York Public
Library and the Brooklyn Public Library. The position supports activities associated with the acquisition and management of library materials for NYPL’s research libraries. Under the direction of the Manager, Monographs, this position completes tasks including, but not limited to, loading electronic invoices, processing invoices, reconciling vendor statements with ILS system records, modifying order records, cancelling orders, organizing materials for transit, and answering service tickets concerning orders and damaged shipments. This position requires active communication with Acquisitions colleagues, vendors and research library staff.
Responsibilities
Reporting to the Manager, Monographs, the Collection Processing Assistant II will:
+ Performs all aspects of the receipt and remittance of library materials
+ Processes and send documents and electronic files conveying orders, claims, and/or cancellations to assigned vendors.
+ Ensures accurate data entry for ordering and payment transactions in the specified Bookops member libraries’ acquisitions systems.
+ Maintains electronic and paper files as needed.
+ Communicates with other BookOps units, specified BookOps member libraries staff, and vendors to resolve issues and answer questions.
+ Performs other duties as assigned.
Required Education, Experience & Skills
Required Education & Experience
+ High school graduation or high school equivalency required. Some college preferred.
+ Relevant library work experience
+ Experience working with a variety of library service providers, troubleshooting and resolving issues in a high-pressure environment.
Required Skills
+ Familiarity with Integrated Library System (ILS) Acquisitions Module.
+ Demonstrated competency with Microsoft Office.
+ Demonstrated ability to work collaboratively with others, and to work independently with a minimum of supervision in an organization undergoing change.
+ Demonstrated ability to maintain a high degree of accuracy in performing detailed work processes.
Preferred Qualifications
+ Knowledge of acquisitions work in a library environment.
+ Reading knowledge in one of the following languages: Russian, Chinese
