    Stanford’s Online High School is an accredited, diploma-offering, highly selective independent high school, offering courses for grades 7-12. The mission ofStanford Online High School (OHS) is to foster a worldwide community of intellectually adventurous students and teachers. Our courses, created and taught by specialists in their academic fields, encourage students to continuously develop and test their own views as they integrate knowledge across disciplines. Small class sizes and synchronous class meetings populated by curious and engaged classmates and teachers make learning a meaningful and social experience. Students form close bonds with each other and with the school community through classes, clubs, meetups, and other school activities, all supported by caring educators. Our school brings together students with diverse backgrounds from across the world.

     

    Stanford Online High School is also the home ofStanford Pre-Collegiate Studies (SPCS), which provides a diverse array of academic enrichment programs that take place mostly in the summer but also throughout the academic year. Held, primarily online, SPCS programs serve intellectually curious pre-college students from around the world.

     

    Stanford Online High School and Stanford Pre-Collegiate Studies offices are located at theStanford Redwood City Campus, This position is eligible for a hybrid work arrangement upon a mutual agreement, however working at least 2 days per week in the office is a minimum requirement.

     

    TheAssistant Director of Business Operationswill assist in the management of the Business Office and will process financial transactions, including purchases, travel, and reimbursements for Stanford Online High School. Reporting to the Director of Business Operations, you will contribute to the overall success of the school by leading much of the day-to-day work of the Business Office, providing hands-on assistance and guidance, establishing priorities, and identifying and resolving administrative matters. You will manage and delegate administrative requests from other work groups, and will manage complex travel reimbursements and financial transactions.As part of our friendly and collaborative team, you will also take the lead on proactively identifying business needs, researching and choosing vendors and solutions, assisting with event planning, analyzing historical financial and business trends, and examining current business practices to suggest improvements and opportunities.

    Your responsibilities include:

    + Independently manage daily business operations, analyze performance data, and recommend process and policy improvements to enhance operational efficiency and service quality.

    + Provide direct supervision to the Business and Facilities Administrator, managing workload priorities and deliverables. May supervise administrative associate contingent staff as needed.

    + Work closely with the Associate Director of Business Operations to operationalize financial policy requests and controls; ensure compliance.

    + Serve as one of the primary business operations contacts and subject-matter expert, providing guidance and training to internal stakeholders.

    + Collaborate with Finance to interpret policy, develop, and implement clear financial procedures and transaction workflows that ensure compliance and efficiency.

    + Guide staff through processes for requesting purchase, travel, and transaction support.

    + Manage and oversee the distribution of incoming travel requests, assisting with travel arrangements and ensuring timely reconciliation and policy compliance.

    + Hold Stanford PCard and TCard; oversee verification and approval workflows to ensure accurate, compliant transactions year-round.

    + Oversee daily Salesforce case management for business office requests, ensuring timely resolution and appropriate staff assignment.

    + Collect Salesforce case data for the business team quarterly; prepare clear, actionable reports that communicate key trends and performance indicators.

    + Create and implement processes for tracking and submitting financial transactions, adhering to published University timelines.

    + Develop quarterly spend analyses by purchasing category to program lead, identifying cost trends and opportunities for improved procurement proficiency.

    + Collaborate with the Finance teams to operationalize a clear and effective finance transaction process to assist with all purchases pertaining to the aforementioned areas of oversight, including but not limited to purchase orders, travel, professional development requests, office supply purchases, ergonomic equipment purchases, etc.

    + Guide Purchase Orders through the University process of submittal and approval, ensuring that vendor deliverables remain on time and on track.

    + Support the planning and execution of various programs and school events throughout the year.

    To be successful in this position, you will bring:

    + Bachelor’s degree and three years of relevant experience, or combination of education and relevant experience.

    In addition, preferred requirements include:

    + Ability to communicate effectively both orally and in writing.

    + Relevant operational and financial subject matter knowledge in compliance with University systems.

    + Ability to direct the work of others through regular meetings to assign and assess workload.

    + Advanced computer skills and demonstrated experience with office software and email applications.

    + Excellent customer service and interpersonal skills.

    Physical Requirements:

    + Constantly perform desk-based computer tasks.

    + Frequently stand/walk, sitting, grasp lightly/fine manipulation.

    + Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 30 pounds

    + Rarely twist/bend/stoop/squat, kneel/crawl.

    + Interpersonal Skills: Demonstrates the ability to work well with Stanford colleagues and clients and with external organizations.

    + Promote Culture of Safety: Demonstrates commitment to personal responsibility and value for safety; communicates safety concerns; uses and promotes safe behaviors based on training and lessons learned.

    + Occasional travel required between Stanford historic campus and Stanford Redwood City Campus.

    + Occasional travel required to in-person Stanford Online High School events and school-wide activities.

    _The expected pay range for this position is $100,023 to $124,516 per annum._

     

    _Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs._
