    Clerk IV Timekeeper

     

    Department of Water Management

     

    Bureau of Administrative Support

     

    Number of Positions: 3

    Starting Salary: $55,344.00/year

     

    These positions are open to the public and all current City employees covered under the City’s collective bargaining agreement with** **AMERICAN FEDERATION OF STATE, COUNTY, AND MUNICIPAL EMPLOYEES (AFSCME) – BARGAINING UNIT 1, 3, 4 & 5.** **Only employees in City job titles in this bargaining unit are eligible to bid.

    The City of Chicago’s Department of Water Management is seeking a Clerk IV Timekeeper to perform the full range of payroll and timekeeping duties and performs related duties as required.

    ESSENTIAL DUTIES

    + Updates the Chicago Automated Time and Attendance (CATA) system with timekeeping and payroll codes to ensure employees’ time records are accurate (e.g., regular and overtime hours worked, vacation, etc.).

    + Audits manual time records to ensure hours reflected in CATA are accurate.

    + Prepares and reviews payroll registers and exception reports for completeness and accuracy and makes corrections as required (e.g., over and underpayment errors).

    + Prepares special supplemental time rolls (e.g., V-rolls, Z-rolls, etc.) to ensure retired, deceased and terminated employees are compensated correctly.

    + Calculates time earned and pro-rated time for vacation purposes.

    + Processes payroll changes for temporary salary changes (e.g., multi-rate, acting-up, etc.).

    + Prepares final time calculations for employees leaving City employment.

    + Interprets labor contract provisions and applies established timekeeping rules governing the compensation of employees for hours worked based on union contracts and the salary ordinance.

    + Explains payroll policies and procedures to employees in person and over the phone and clarifies discrepancies.

    + Serves as liaison with the Comptroller’s Office regarding new or modified timekeeping processes and policies.

    + Maintains timekeeping records and related supporting documentation for departmental employees.

    + Prepares and generates various timekeeping reports (e.g., accrual and balance reports, year-end, etc.).

    + Sorts and distributes payroll checks.

    + Files and stores payroll documents (e.g., payroll registers, edit forms, etc.).

    + Responds to requests for employment verifications and generates missing wage reports, as required.

    + Performs related duties as required.

    _Additional duties may be required for this position_

    **Location:** 1000 East Ohio Street

    **Days:** Monday through Friday

    **Hours:** 8:30 a.m. to 4:30 p.m.

    THESE POSITIONS ARE IN THE CAREER SERVICE

    Qualifications:

    + Two years of timekeeping, payroll or clerical work experience

    Should the above criteria not be fulfilled, the following options are acceptable:

    + Graduation from an accredited college or university with an Associate’s degree or higher, plus one (1) year of timekeeping, payroll, or clerical work experience

    SELECTION REQUIREMENTS

    This position requires applicants to successfully pass a written test / skills assessment and complete an interview. Test results will be sent out by the Department of Human Resources after test results have been analyzed and compiled. The interviewed candidate(s) receiving a passing score on the test and possessing the qualifications best suited to fulfill the responsibilities of the position will be selected.

    Preference will be given to candidates possessing the following:

    + Previous work duty experience with timekeeping and payroll preparation for 50 or more employees.

    + Previous work experience in a position resolving issues pertaining to employees’ time and pay.

    + Proficiency using Microsoft Office applications.

Department of Human Resource staff will review applications after the final posting date. Staff will follow any and all required Employment/Hiring Plan provisions, federal, state and local laws, and Collective Bargaining Agreements when applicable.
