+ Proficient in Microsoft Office 365 to include Word, Excel, Outlook, Teams, and SharePoint.
+ Knowledge of Adobe products
+ Effective communicator with excellent verbal, written, and interpersonal communication skills.
+ Demonstrated ability to maintain sensitive and confidential information.
+ Demonstrated ability to multitask, organize, and prioritize responsibilities, and handle interruptions.
Preferred Qualifications
+ Prior experience working in an academic setting.
+ Experience with SAP and Concur
+ Knowledge of Texas State University academic policies, systems, and procedures.
+ Experience maintaining social media presence for professional organization
+ Experience in developing promotional materials
Job Description
The Administrative Assistant II provides administrative and clerical support to the department chair, the graduate faculty members, and the other administrative staff.
Job Duties
+ Support department travel through Concur system for faculty and student conference and research travel, invited speakers, job candidates, etc.
+ Manage student evaluations of faculty teaching
+ Collaborate with Director of Graduate Studies and complete administrative paperwork for graduate program
+ Disseminate reminders of academic deadlines and announcements of opportunities to graduate students.
+ Administrative paperwork for undergraduate and graduate internship programs
+ Administrative paperwork for community partnerships in public history and service-learning courses
+ Administrative paperwork for flyers/brochures/swag
+ Collaborate with Admin III to organize, prioritize, direct, and explain office work assignments to office staff, student workers, community service workers.
+ Manage office supplies, decorations, maintenance work orders, receiving of mail and packages
+ Serve as receptionist by answering phone, greeting and assisting students, faculty, staff, and visitors and maintaining confidentiality.
+ Collaborate with the Director of Graduate Studies, department faculty, and department staff on public programs
+ Disseminate reminders of academic deadlines and announcements of opportunities to graduate students
+ Compose, type, and proofread a range of documents including correspondence, maintaining database and reports.
+ Attend university staff development workshops and/or training sessions as appropriate.
+ May be asked to provide insight on process improvements and successful outcomes.
+ Perform other duties as assigned
